Introduction

Freddy Hirsch is seeking a highly organised and detail-oriented Workshop and Spares Administrator to join our team. This role is responsible for providing administrative, logistical, and operational support to the Workshop team, ensuring the efficient coordination of workshop activities, technicians, job cards, spare parts, and customer service processes across all branches.

Duties & Responsibilities

Key responsibilities include

  • Receive and log customer breakdown calls.
  • Create, update and manage technician job cards.
  • Allocate and transfer parts to technician job cards.
  • Coordinate stock requests and internal stock transfers for workshop jobs.
  • Process parts issued and returned from completed jobs.
  • Prepare workshop quotations for planned services and repairs.
  • Process manual and portal job cards for the Johannesburg, Cape Town and Gqeberha (PE) branches.
  • Handle job card, invoicing and credit note queries.
  • Follow up with customers regarding purchase orders and outstanding documentation.
  • Prepare and distribute customer invoices and copies of completed job cards.
  • Process supplier and contractor purchase orders and Goods Received Notes (GRNs).
  • Submit contractor documentation to Accounts and maintain accurate filing systems.
  • Respond to customer and internal workshop queries.
  • Maintain technician attendance, overtime and time records on the relevant time management system.
  • Prepare labour recovery reports and submit labour broker timesheets.
  • Monitor stock allocation to workshop jobs and liaise with branches regarding stock availability.
  • Provide general administrative support to ensure the smooth and efficient operation of the Workshop Department

Desired Experience & Qualification

  • Grade 12 (Matric).
  • A tertiary qualification in Business Administration or a related field will be advantageous.
  • Previous administrative experience within a workshop, service or technical environment will be advantageous.
  • Proficient in Microsoft Office and ERP systems.
  • Excellent organisational and time management skills.
  • Strong attention to detail with the ability to work under pressure.
  • Effective verbal and written communication skills.
  • Ability to prioritise multiple tasks and consistently meet deadlines.
