A leading JSE-listed forestry and sawmilling company, with operations across the forestry, timber processing and manufacturing value chain, is looking for an experienced and highly organised Workshop Administrator to join its Mobile Workshop team at the Plywood site.
The successful candidate will play a key role in ensuring accurate and efficient workshop administration, supporting maintenance planning and scheduling, managing work orders and procurement processes, and maintaining accurate records to support the reliable operation of mobile equipment.
Duties & Responsibilities
Workshop Administration & Record Keeping
- Process all workshop transactions accurately and on time.
- Maintain workshop records, job cards, downtime reports and filing.
- Ensure accurate maintenance and equipment history records.
Work Order Management
- Generate and print D365 work orders following equipment inspections.
- Capture required parts and estimated hours on work orders.
- Obtain the required work order approvals and close completed orders timeously.
Maintenance Scheduling
- Ensure mobile equipment is booked for services and routine checks timeously.
- Maintain and distribute the weekly maintenance and service schedule.
- Coordinate service scheduling with the relevant departments.
Procurement & Spare Parts
- Follow up on outstanding external purchase orders.
- Monitor critical and high-value spare parts to ensure availability for maintenance activities.
- Update equipment history costs on scheduled work orders.
Workshop Coordination & Communication
- Liaise with relevant departments to obtain approvals and coordinate workshop requirements.
- Receive and capture job cards and downtime reports from production and artisans.
- Compile and distribute standby and engineering shift rosters.
Maintenance Support & Compliance
- Support the ongoing coordination of planned and breakdown maintenance activities.
- Ensure accurate and timely administration to support workshop and end-user requirements.
- Assist in maintaining effective maintenance processes across mobile equipment.
Desired Experience & Qualification
Education & Experience
- Grade 12 (Matric)
- Certificate or Diploma in Business Administration, Office Administration, Supply Chain Management, or a related field
- A technical qualification related to mobile equipment or relevant legal certification will be an added advantage
- Minimum 5 years' experience in a similar environment, preferably within a related industry
- Previous experience in workshop procurement and administration
- Technical knowledge of mobile equipment, machine components and related parts
Technical Skills
- Proficiency in Microsoft Office and Microsoft Excel
- Working knowledge of D365 and F&O systems
- Knowledge of procurement, stock control and maintenance procedures
- Accurate completion and processing of job cards and maintenance records
- Understanding of OHS and safe working practices
