- We are seeking a detail-oriented and analytical Workforce Management Agent to join our Performance Centre in KwaZulu-Natal.
- The successful candidate will coordinate workforce management activities by ensuring accurate employee deployment, workforce planning, attendance monitoring, compliance management, payroll administration support and operational reporting.
- This role plays a key part in ensuring workforce information is accurately maintained across operational systems while supporting compliance with client Service Level Agreements SLAs, company policies and legislative requirements.
What you will bring
Inherent requirements for the position non-negotiable
- Grade 12 Matric.
- Minimum of 3 years' experience in workforce administration, operations administration, payroll administration or employee administration.
- Proficient in Microsoft Office, with advanced working knowledge of Microsoft Excel.
- Experience working with workforce management, payroll or operational systems.
- Excellent administrative, organisational and communication skills.
- Ability to analyse information, solve problems and manage multiple priorities while maintaining a high level of accuracy.
Additional demonstrable requirements
- Certificate or Diploma in Human Resources, Business Administration, Operations Management or a related field will be advantageous.
- Experience within the security, cleaning or facilities management or contract services environment will be advantageous.
- Experience using Velocity, Prof1t, SAP or similar workforce management systems.
- Working knowledge of workforce planning, payroll administration, labour legislation and client SLA management.
- Strong reporting, analytical and stakeholder engagement skills.
- Ability to work effectively under pressure within a fast-paced operational environment.
What you will be doing
- Coordinate workforce planning activities by monitoring staffing levels, approved budgets, rosters and workforce deployment.
- Maintain workforce information, client records, site codes, cost centres and operational structures across workforce management systems.
- Configure and maintain site locations within operational systems to ensure accurate employee clocking and reporting.
- Monitor employee compliance documentation, statutory requirements and certification expiry dates, coordinating refresher training where required.
- Ensure employees deployed to client sites meet all contractual, legislative and client-specific compliance requirements.
- Monitor attendance, overtime, clocking records and workforce exceptions, investigating discrepancies and supporting corrective action.
- Provide payroll administration support by resolving payroll queries, validating attendance records and processing approved employee transfers and amendments.
- Maintain accurate employee records and ensure workforce documentation is complete, compliant and up to date.
- Produce operational and workforce management reports, including leave balances, cost centre reconciliations, compliance reports and workforce audits.
- Liaise with Operational Management, Compliance, Payroll and other stakeholders to support effective workforce administration and service delivery.
- Assist in maintaining compliance with company policies, labour legislation and client Service Level Agreements SLAs.
