The Wholesale Customer Operations Specialist is the operational engine behind the retail wholesale business — the single point of contact that keeps customer orders, communication and deliveries moving from purchase order through to delivery, invoice and payment. Reporting to the Planning Manager and working across commercial, planning, warehouse and finance, the role owns PO management, order enquiries, stock allocation administration, warranties, credits and customer onboarding, so that every account is serviced accurately, on time and in full. A minimum of 3 years’ wholesale customer service or operations experience is essential.
Responsibility: Key Responsibilities 1. Purchase Order Management — Receive, validate and load customer purchase orders; check pricing, quantities, delivery windows and trading terms against confirmed orders; maintain the open order book and resolve discrepancies, amendments and cancellations before they become delivery failures. 2. Order Enquiries & Customer Requests — Act as first point of contact for the customer service inbox — order status, stock availability, pricing, product and document requests — responding within agreed service levels and owning every query through to resolution. 3. Stock Allocation & Systems — Support the Planning Manager on allocation of stock against confirmed orders and free-to-sell; keep order, product, pricing and allocation data accurate in Cin7 (or equivalent ERP); and prepare order book, allocation and delivery reporting for the weekly trade and planning reviews. 4. Warehouse & On-Time Delivery — Partner with the warehouse and third-party logistics on picking, packing, dispatch and delivery scheduling; book deliveries in line with each customer’s windows and compliance requirements; track OTIF and resolve short shipments, rejections and delivery claims. 5. Customer Onboarding & Documentation — Manage new account onboarding end-to-end — vendor and credit applications, company and FICA documentation, trading terms, price lists, product and PRICAT data and portal or EDI set-up — so accounts can trade quickly and compliantly. 6. Customer Communication with Commercial — Together with the commercial team, manage day-to-day customer communication: order confirmations, delivery and launch updates, newness information, out-of-stock and substitution comms — proactive, consistent and on brand. 7. Invoicing, Statements & Credits — Working with Finance - Issue invoices, statements and supporting documentation as requested; process customer credits and claims accurately with the correct authorisation; and reconcile queries with finance to keep accounts clean. 8. Credit Limits & Account Control — Check customer credit limits and account status before order release; escalate limit breaches and overdue accounts to the Planning Manager, commercial and finance; and support the collections process. 9. Sell-In Support — Support the commercial team through sell-in — preparing order forms, range and price files, capturing seasonal pre-orders accurately, tracking confirmation deadlines and converting sell-in into clean, loaded orders. • . Skills & Experience Required • Minimum 3 years’ wholesale customer service or operations experience (essential) — servicing retail chain or B2B accounts, ideally in footwear, apparel or a comparable branded environment. • End-to-end order-to-cash exposure — purchase order capture, allocation, dispatch, invoicing, statements, credits and credit limit control.
- Systems capability (essential) — hands-on with an inventory or ERP system such as Cin7 / DEAR, SAP or Syspro, together with advanced Excel and strong data accuracy.
- Retail customer compliance know-how — delivery booking portals, vendor requirements, GRV, claims and chargeback processes with major retail groups.
- Warehouse and logistics coordination — practical experience working with warehouses and 3PLs on dispatch, delivery scheduling and returns.
- Exceptional accuracy and attention to detail — high-volume order and document processing with minimal error and full audit trail.
- Strong communication and relationship skills — professional, calm and solution-oriented with customers, commercial, warehouse and finance.
- Highly organised and proactive — able to prioritise many accounts and deadlines at once and to escalate early.
- Flexibility during peak trade — to support seasonal sell-in deadlines, key launches and month-end.
