Introduction

We are looking to recruit a Warehouse Supervisors ( Distribution Dispatch/Fleet) to work for United Pharmaceutical Distributors (UPD). The role will be based at the Cape Town branch and will report to the Department Manager. The Dispatch/Fleet Supervisor must be willing to work shifts as per operational requirements. Duties & Responsibilities

Job Purpose

  • Responsible for the effective and accurate management and control of Inventory, receiving, assembly and mostly dispatching of stock within the warehouse ensuring good Wholesale, Distribution and FMCG Practice is applied.

Job Objectives: 1. Manage the Dispatch Team

• Supervise dispatch clerks, loaders, and dispatch controllers. • Allocate daily workloads and responsibilities. • Monitor staff performance, attendance, and productivity. • Provide training and coaching to team members. • Assembling of orders 2. Ensure On-Time Dispatch

• Ensure all orders are dispatched according to delivery schedules. • Coordinate vehicle loading and departure times. • Monitor service levels to achieve OTIF (On Time In Full) targets. • Escalate and resolve delays that may impact customer deliveries. 3. Vehicle Loading and Route Control

• Verify that vehicles are loaded correctly and securely. • Ensure delivery documentation accompanies each route. • Confirm optimal route planning and vehicle utilization. • Monitor vehicle capacity and load compliance. • Monitor Outbound Overview report daily 4. Dispatch Accuracy and Documentation

• Ensure all delivery notes, invoices, manifests, and POD documentation are accurate. • Verify that orders loaded match dispatch documentation. • Maintain accurate dispatch records for audit purposes. 5. Coordination with Operational Departments

• Liaise with Picking, Checking, Inventory, Transport, and Customer Service teams. • Ensure orders are complete and ready before dispatch. • Resolve dispatch-related queries and discrepancies. 6. Customer Service and Delivery Performance

• Monitor delivery performance and customer service levels. • Investigate delivery failures, shortages, and customer complaints. • Implement corrective actions to prevent recurring issues. 7. Compliance and Risk Management

• Ensure compliance with company SOPs, GDP requirements, and transport regulations. • Monitor security controls to prevent stock losses during dispatch. • Ensure cold-chain and temperature-sensitive products are dispatched according to requirements. 8. Health and Safety Management

• Enforce safe loading and dispatch procedures. • Ensure staff wear appropriate PPE. • Maintain housekeeping standards in dispatch areas. • Conduct safety inspections and toolbox talks. 9. Performance Reporting and Continuous Improvement

  • Monitor and report on dispatch KPIs.
  • Analyze operational trends and identify improvement opportunities.
  • Drive initiatives to improve productivity, accuracy, and customer service.

Desired Experience & Qualification

Experience and Education

  • Matric/NQF Level 4 (Essential)
  • Relevant Tertiary Qualifications (Advantageous)
  • Fleet management and operational/ logistical experience with at least 3 years experience at a Supervisor/manager level
  • 3 years experience in management

Job related knowledge and skills

  • Computer skills on MS Office (Word and Excel)
  • ERP/WMS Systems understanding
  • Financial background- Budget
