Duties & Responsibilities

1.Implement Lean Practices

Lean Warehousing focuses on waste reduction, continuous improvement, and employee involvement.

• ABC analysis to prioritize inventory based on demand/movement.

• Warehouse Layout Optimization to reduce travel time and streamline workflows.

• Streamline workflows : Map out your processes, identify and eliminate unnecessary steps, and use lean practices to reduce waste and improve efficiency.

2. Invest in Technology

Investing in warehouse technology can significantly boost efficiency, reduce costs, and improve customer satisfaction through solutions like automation, AI, and real-time inventory tracking

• Warehouse Management System (WMS) : fully integrate and digital system to enable real-time visibility, accurate inventory tracking, and automated rule-based task allocation.

• ePOD system to increase efficiency at stock hand over point, reduce costs of paperwork, and mitigate against PODs getting lost.

• Delivery Management System (DMS) : to optimize and automate the delivery process from start to finish.

• Paperless environment .

3. Implement Warehouse Metrics and KPI

Managing a warehouse and its logistics requires a core set of Key Performance Indicators (KPIs) to monitor efficiency, control costs, and ensure customer satisfaction. These essential metrics can be broken down by category, providing a comprehensive view of the entire operation.

Inventory Management KPIs

These metrics help you control costs associated with holding inventory.

• Inventory accuracy:  Compares your recorded inventory with the physical count. High accuracy (ideally 100%) is crucial for preventing errors and stockouts.

• Carrying cost of inventory:  The total cost of owning, storing, and holding inventory over a period. This includes costs for capital, insurance, storage, and potential obsolescence.

• Inventory shrinkage:  Represents the value of lost inventory due to theft, damage, or administrative errors. A low shrinkage rate indicates good inventory control.

• Warehouse capacity usage: Warehouse capacity utilisation measures the percentage of available warehouse space that is currently being used.

Receiving and Putaway KPIs

These metrics measure the efficiency of getting inbound goods processed and onto warehouse shelves.

• Receiving efficiency:  Assesses the productivity of your receiving team by measuring the volume of inventory received against labor hours.

• Receiving cycle time (Dock-to-stock):  The average time from when goods arrive at the dock until they are stored and ready for sale. Shorter times indicate greater efficiency.

• Putaway accuracy rate:  The percentage of items placed in their correct storage location on the first attempt. High accuracy is key to preventing picking errors later.

• Dock door utilization:  Measures the percentage of loading docks being used during receiving or shipping hours. High utilization can indicate a need to expand, while low utilization may point to scheduling issues.

Order fulfilment and picking KPIs

These indicators measure the speed, accuracy, and overall cost of fulfilling customer orders.

• Order picking accuracy:  The percentage of orders picked without any item errors. High accuracy is essential for customer satisfaction and avoiding costly returns.

• Order fill rate:  The percentage of orders that can be completely filled from existing stock. A low rate can point to inventory management or stockout issues.

• Internal order cycle time:  The time from when an order is placed to when it is ready for dispatch from the warehouse. A shorter cycle time leads to faster deliveries.

• Picking productivity:  The number of orders picked per hour. This is a primary metric for gauging the efficiency of your picking team.

• Cost per order:  The total warehouse costs associated with fulfilling a single customer order. This financial metric helps track and reduce operational expenses.

• Perfect order rate:  The percentage of orders that are delivered on time, in full, with no damage, and with accurate documentation.

Shipping and transportation KPIs

These metrics focus on outbound logistics, measuring delivery performance and transportation costs.

• On-time delivery (OTD):  The percentage of orders delivered to customers by the promised date. It is one of the most important customer-facing logistics metrics.

• Freight cost per unit:  The average cost to ship one unit of product. Tracking this helps manage transportation costs and measure shipping efficiency.

• Truck turnaround rate (or dwell time):  The time a carrier spends at your facility for pickup or delivery. A lower rate indicates efficient loading and unloading processes.

• Vehicle capacity utilization:  Measures the percentage of a vehicle's capacity that is used during a trip. Maximizing this metric reduces fuel costs and the number of trips.

• First-attempt delivery rate:  The percentage of orders successfully delivered on the initial attempt. This indicates effective routing and scheduling.

Safety and employee performance KPIs

These indicators focus on protecting your workforce and ensuring regulatory compliance.

• Safety incident rate:  Tracks the frequency of workplace accidents and injuries. A lower rate indicates a safer working environment and effective safety measures.

• Time since last accident:  Measures the number of days since the last reportable incident. The longer this period, the more effective your safety protocols are.

• Labor productivity:  Measures output per labor hour. This can be tracked for specific tasks, like units processed per hour, to evaluate workforce efficiency.

• Employee turnover rate:  The percentage of staff that leaves the organization over a specific period. High turnover can signal issues with morale, training, or management.

4. Training and Development

Implement continual training and development programs to help staff improve their skills and enhance warehouse efficiency.
