About the Opportunity
Our client is a leading South African manufacturer specialising in branded apparel, promotional merchandise and customised clothing solutions. Their Johannesburg operation plays a critical role in ensuring customer orders are received, managed and dispatched accurately while maintaining exceptional inventory control and operational efficiency.
They are looking to appoint a highly organised and detail-oriented Warehouse Administrator to support the day-to-day administration and coordination of warehouse operations.
This role is ideal for someone who enjoys working in a fast-paced environment where accuracy, organisation and customer service are essential. The successful candidate will play a key role in ensuring inventory integrity, supporting warehouse operations and helping the business consistently meet customer delivery expectations.
About the Role
The Warehouse Administrator is responsible for coordinating the administrative functions of the warehouse while supporting inventory control, receiving, dispatch and stock management activities.
Working closely with Sales, Production, Procurement and Logistics teams, you will ensure all warehouse transactions are processed accurately, stock records remain up to date and customer orders are prepared for dispatch efficiently.
Success in this role requires exceptional organisational ability, strong administrative skills, excellent attention to detail and the ability to manage multiple priorities within a busy warehouse environment.
Duties & Responsibilities
Key Responsibilities
Warehouse Administration
- Maintain accurate warehouse records and inventory documentation.
- Process all warehouse transactions accurately and timeously.
- Prepare and maintain stock movement records.
- Process goods received, goods dispatched and stock transfers.
- Ensure warehouse documentation is completed and filed correctly.
- Generate warehouse reports and assist with inventory analysis.
- Maintain accurate records of stock adjustments and returns.
Receiving & Inventory Control
- Coordinate the receiving of incoming stock.
- Verify deliveries against purchase orders and supporting documentation.
- Ensure stock is correctly receipted into inventory systems.
- Monitor stock levels and report shortages or discrepancies.
- Assist with stock replenishment planning.
- Conduct regular cycle counts and inventory reconciliations.
- Investigate inventory variances and assist with corrective actions.
Dispatch & Order Coordination
- Coordinate customer order preparation and dispatch activities.
- Verify product quantities, styles and colours before dispatch.
- Ensure customer orders are dispatched accurately and on time.
- Coordinate inter-branch stock transfers where required.
- Liaise with internal departments regarding order status and stock availability.
- Assist in resolving order discrepancies and stock queries.
Warehouse Operations
- Support the daily operational activities of the warehouse.
- Ensure warehouse housekeeping standards are maintained.
- Monitor compliance with company procedures and warehouse policies.
- Assist with maintaining a safe and organised working environment.
- Report damaged stock, equipment faults and operational concerns promptly.
- Support continuous improvement initiatives aimed at increasing warehouse efficiency.
Customer Service & Communication
- Build effective working relationships with internal departments.
- Provide timely updates regarding stock availability and customer orders.
- Respond to warehouse-related queries professionally and efficiently.
- Support Sales and Customer Service teams by providing accurate inventory information.
- Contribute to delivering an exceptional customer experience through efficient warehouse operations.

Desired Experience & Qualification
Minimum Requirements
- Grade 12 (Matric).
- Minimum 2–3 years' experience in a Warehouse Administrator, Inventory Controller or Stock Control role.
- Previous experience within a warehouse, manufacturing or distribution environment.
- Good computer literacy, including Microsoft Office.
- Experience using inventory or warehouse management systems.
- Strong numerical and administrative ability.
- Excellent organisational skills.
- Strong verbal and written communication skills.
Highly Advantageous
- Experience within the apparel, promotional merchandise or manufacturing industry.
- Advanced Microsoft Excel skills.
- Experience with ERP or Warehouse Management Systems (WMS).
- Previous exposure to inventory reconciliation and stock control processes.
- Understanding of warehouse health & safety procedures.

Working Environment
