Our client, a growing player in the liquor import, export, and distribution industry, is seeking a highly organized and detail-oriented Warehouse Administrator to join their team. This role requires a proactive professional who can effectively manage warehouse administration, stock control, import and export documentation, financial administration, and stakeholder communication within a fast-paced environment.
The successful candidate will play a key role in supporting daily operations while liaising with suppliers, customers, customs officials, international partners, and internal departments to ensure smooth business operations.
Duties & Responsibilities
Key Responsibilities
Warehouse & Stock Administration
- Maintain accurate inventory records and oversee stock management processes.
- Monitor stock movement, reconciliation, and reporting to ensure inventory accuracy.
- Assist with warehouse administration and audit requirements.
- Support operational compliance and record-keeping procedures.
Import & Export Coordination
- Prepare, process, and manage import and export documentation.
- Liaise with customs officials, freight forwarders, suppliers, and clients regarding shipments
- Ensure all documentation complies with local and international trade regulations.
- Monitor shipment timelines and proactively resolve logistical challenges.
Financial Administration
- Manage debtor and creditor administration processes.
- Perform online banking transactions and assist with payment reconciliations.
- Maintain accurate financial records and supporting documentation.
- Support month-end administrative requirements.
Stakeholder Liaison & Administration
- Build and maintain strong relationships with customers, suppliers, and service providers.
- Coordinate communication between inter-company departments and stakeholders.
- Provide administrative and personal assistant support to the Director and Sales Team.
- Prepare reports, presentations, correspondence, and other administrative documentation.
Travel & Representation
- Represent the company professionally at events, exhibitions, and industry functions when required.
- Conduct administrative audits at various regional locations.
- Travel nationally and internationally to support business operations and administrative compliance where necessary.
Desired Experience & Qualification
Minimum Requirements
- Grade 12 / Matric.
- Minimum 2 years' experience in an administrative or warehouse administration role.
- Strong computer literacy, including Microsoft Office Suite.
- Experience with stock control and inventory management.
- Strong verbal and written communication skills in English.
- Ability to work independently as well as within a team environment.
- Valid driver's license and own reliable transport.
- Willingness to travel locally and internationally when required.
- Ability to manage multiple priorities and work effectively under pressure.
Advantageous Experience
- Previous experience within the liquor, FMCG, import/export, warehousing, or distribution industries.
- Knowledge of customs procedures and import/export documentation.
- Experience dealing with international suppliers and customers.
- Exposure to debtor and creditor administration.
