The client operates within the transport and logistics industry. Their operations involve fleet management, transport schedules, completed trips, and coordination with subcontractors to deliver transport loads.
The Role: Truck Fleet Administrator
The Fleet Administrator is responsible for the accurate and timely administration of transport loads, with a primary focus on capturing, verifying, and filing load documentation received from subcontractors. The role exists to ensure transport documentation is complete, correctly recorded, and submitted to support operational efficiency, customer service, and customer invoicing processes.
Duties & Responsibilities
Key Responsibilities
Apply 2 to 3 years of administration experience within transport, logistics, or fleet operations to manage load documentation.
Receive, verify, and capture load documentation including Proof of Deliveries, load confirmations, delivery notes, waybills, road freight documents, and trip sheets.
Input load details, reference numbers, vehicle registration, driver details, pick-up and delivery points, commodity details, rates, and load values into company databases and Transport Management Systems.
Follow up with subcontractors regarding outstanding or missing documents and maintain electronic and physical filing systems.
Maintain subcontractor records, verify compliance documents, and update fleet or vehicle administrative information.
Prepare documentation packs for the Finance Department and resolve documentation queries to assist with customer invoicing.
Liaise daily with Transport Controllers, Fleet Managers, drivers, subcontractors, finance staff, and customers.
Provide after-hours support when required to resolve operational, documentation, or subcontractor issues outside normal working hours of Monday to Friday, 07:00 to 17:00.
Desired Experience & Qualification
About You
Grade 12 / Matric qualification.
2 to 3 years of administration experience within transport, logistics, or fleet operations.
Experience working with subcontractor load documentation.
Strong data capturing, numerical, reconciliation, problem-solving, and organizational skills.
Proficiency in Microsoft Excel, Outlook, and Word.
Detail-oriented, reliable, accountable, self-motivated, professional, and customer-focused personal attributes.
Ability to work under pressure, manage multiple tasks, and maintain a reliable means of communication for required after-hours support.
Relevant administration or logistics qualification (advantageous).
Experience using Transport Management Systems (TMS) (preferred).
