To manage and oversee the firm's trade mark renewals function, ensuring exceptional client service, operational efficiency, compliance with local and international trade mark requirements, profitability of the renewals practice, and effective leadership of the renewals team. CORE CRITIAL ROLE RESPONSIBILITIES Manage the end-to-end trade mark renewals across local and international portfolios. Ensure all renewals are processed accurately and within prescribed deadlines. Research and interpret foreign jurisdiction requirements and ensure compliance with country-specific regulations. Review and approve legal correspondence, reports, cost estimates, and renewal documentation. Ensure adherence to firm policies, client requirements, and professional standards. Build and maintain strong relationships with clients, foreign associates, and correspondents. Manage and resolve client queries efficiently and professionally. Review and approve client communications relating to renewals, recordals, costs, and procedural matters. Maintain and update client Standing Instructions (SI) to ensure alignment with client requirements. Proactively identify opportunities to enhance client satisfaction and retention. Clear, professional verbal and written communication skills Ability to communicate complex issues accurately and timeously Active listening and effective stakeholder engagement Proactively contribute to the efficient running and strategic growth of the renewals practice. Monitor workflow, turnaround times, work allocation, and service standards. Ensure effective use of Patricia, diary systems, and timekeeping tools. Oversee reporting requirements and ensure adherence to deadlines. Drive continuous process improvement and operational excellence initiatives. Sound judgement when handling sensitive or complex matters Monitor and manage the Team’s work-in-progress (WIP). Oversee debtors management and support collection processes. Minimise unrecoverable expenses and write-offs. Lead, manage, mentor, and develop team members. Ensure team productivity, quality, and compliance with established standards. Manage performance, address development needs, and build team capability. Foster a high-performance and client-centric culture. Promote collaboration and knowledge sharing within the team. Support and drive the automation of Patricia workflows and related processes. Identify opportunities to improve efficiency, service delivery, and risk management. Implement best practices and contribute to departmental innovation initiatives. Ensure data integrity and effective utilisation of technology platforms. High level of confidentiality, ethical conduct, and accountability Professional behaviour in all interactions with clients and colleagues Ensure accurate processing and follow‑up of all queries Ensure work is completed in line with firm policies and client instructions Prepare and submit required internal, external, and ad hoc reports within deadlines Ensure adherence to firm policies, procedures, and confidentiality requirements Maintain professionalism, ethical standards, and appropriate conduct at all times
