About the role To Tender Administrator Intern supports the full tendering process for facilities management contracts by coordinating documentation, ensuring compliance with client requirements, managing internal communication, and preparing highâ??quality bid submissions. This position supports proposal preparation, tender coordination, and opportunity tracking while ensuring the business does not commit to pricing, scope, or delivery without proper internal approval

Responsibilities

Tender Coordination & Submission

• Source, download, and register new tenders from online portals. • Review tender documents to identify requirements, deadlines, and submission formats. • Maintain a tender tracker for progress and submission status • Prepare submission packs (digital or hardâ??copy). • Upload documents to portals and confirm successful submission. • Coordinate delivery of physical submissions. Document Preparation

• Prepare administrative sections of tenders including profiles, compliance documents, and policies. • Assist with methods statements, workplans, and staffing schedules. • Ensure professional formatting and presentation. Information Gathering & Coordination

• Collect data from operations, HR, finance, and SHEQ teams. • Follow up to ensure timely completion of tender sections. Compliance & Quality Assurance

• Ensure accuracy, completeness, and alignment with requirements. • Upload documents to portals and confirm successful submission. • Coordinate delivery of physical submissions. Submission Management
