Description

  • The purpose of this roles is to reconcile and capture loads onto Agris System for invoicing to clients and payments to transport vendors.

Requirements

REQUIRED MINIMUM EDUCATION/TRAINING

  • Grade 12

REQUIRED MINIMUM WORK EXPERIENCE

  • 2 - 5 years contract administration experience in the agricultural environment.

KEY PERFORMANCE AREAS

  • Monitor contract delivery movements using the Daily Open Orders Report and Ticket Report.
  • Manually capture tonnages ordered/delivered to non-AFGRI silos, i.e 3rd Party transactions.
  • Reconcile all deliveries between loading and off-loading locations, capture destination tonnages and match loads in shipment to facilitate accurate and timely invoicing.
  • Capture tonnages on contracts delivered on a Direct Delivery basis and match purchases and sales.
  • Report anomalies, deviations and non-deliveries on contracts.
  • Report any stock tonnage and grade differences and initiate claims from either the Transporter or Silo operator.
  • Balance and close off Sales contracts in Agris and reconcile and close-off IC contracts.
  • Extend contract delivery end dates at month end where applicable.
  • Follow up and resolve any queries on loads invoiced turnaround 2 working days and assist the Admin Assistants to resolve transport queries.
  • Provide necessary documentation to the manager when clients are handed over for non-payment
  • Monitor AGRIS system integrations.
  • Liaise with Trader & Logistics operator to plan upcoming monthly and/or Adhoc deliveries.
  • Prepare Agris contract via Deal Sheet for IC contracts, in time for the delivery date and issue instruction/order on time for Logistics Operator to execute on time.
  • Ensure all loads are timeously captured to ensure that the Admin Assistants process transport tickets/vouchers to SAP for payment within terms.
  • Maintain accurate transport Shipper ID and freight rates in Agris to minimize queries and stoppages.

TECHNICAL KNOWLEDGE/ COMPETENCIES

  • Computer literacy MS Office.
  • Knowledge of the agricultural grain sector.
  • Understanding of AGRIS system will be advantageous.
  • Verbal and written communication skills.
