  • A well-established business operating within a technical service and equipment environment is seeking an experienced and highly organised Technical Coordinator to support a busy Technical Department.
  • This is an administration-heavy coordination role requiring someone who thrives on structure, accurate information, follow-ups and keeping multiple technical jobs moving simultaneously. You will work closely with the Technical Lead and technicians to ensure service calls are scheduled efficiently, job information is complete, customers are kept informed and completed work progresses promptly to invoicing.
  • The successful candidate does not need to be a technician, but should be comfortable working in a technical, service, maintenance or operational environment.

Key Responsibilities

  • Coordinate the daily scheduling and dispatch of technicians.
  • Capture service calls and job information accurately.
  • Ensure technicians receive all necessary information before attending customer sites.
  • Track jobs from initial booking through to completion, invoicing and closure.
  • Monitor job progress and follow up continuously on outstanding work.
  • Follow up on quotations, parts, documentation, customer information and other job-related requirements.
  • Confirm that customer sites are ready before technicians are dispatched.
  • Maintain accurate job records, supporting documentation and technician information.
  • Coordinate the progress and movement of equipment and repairs through the workshop.
  • Liaise between technicians, customers and internal departments.
  • Monitor technician hours, job progress and outstanding work.
  • Ensure completed job cards and supporting documentation are accurate and complete.
  • Prepare operational reports relating to technician activity, outstanding jobs and service performance.
  • Identify delays, bottlenecks and recurring operational issues and escalate these proactively.
  • Ensure completed jobs are administratively ready for invoicing as quickly as possible.
  • Maintain organised records and ensure outstanding matters are followed through to resolution.

Requirements

  • Previous experience in a strong administrative or coordination role.
  • Excellent organisational, planning and follow-up ability.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple jobs, technicians, deadlines and priorities simultaneously.
  • Confident verbal and written communication skills.
  • Comfortable liaising with technicians, customers and internal departments.
  • Good computer literacy and experience working with computerised administrative or job-management systems.
  • Ability to learn new systems and processes quickly.
  • Strong problem-solving skills and a proactive approach to outstanding matters.
  • Ability to work effectively in a busy, deadline-driven environment.
  • Experience within a technical service, maintenance, field service, workshop, engineering, logistics or operational environment would be highly advantageous.
  • Previous experience coordinating technicians, installers, service teams or field staff would be a strong advantage.
