Duties & Responsibilities

Main Job Function

The Technical Administrator provides administrative and operational support to the Technical Manager and the technical team. This role ensures that all service calls, preventative maintenance, workshop repairs, stock movements, technician documentation and reporting are accurately administered and completed on time.

Key Responsibilities

Technical Administration

  • Create and schedule service jobs
  • Allocate work in conjunction with the Technical Manager
  • Monitor technician schedules
  • Track outstanding service calls
  • Follow up overdue jobs
  • Ensure service requests are actioned within SLA
  • Maintain accurate customer equipment records
  • Maintain machine asset database
  • Process completed job cards
  • Ensure technician paperwork is complete
  • Upload supporting documentation
  • Maintain digital filing system

Workshop Administration

Coordinate all workshop administration including

  • Booking equipment in
  • Booking equipment out
  • Creating repair jobs
  • Tracking repair progress
  • Customer repair notifications
  • Repair quotations
  • Workshop documentation
  • Machine history updates
  • Warranty records

Preventative Maintenance Coordination

  • Schedule preventative maintenance visits
  • Build technician PM schedules
  • Monitor completion rates
  • Contact customers to arrange visits
  • Follow up missed appointments
  • Ensure PM records remain current

Parts & Inventory Administration

Assist the Technical Manager with

  • Spare parts ordering
  • Receiving parts
  • Processing GRVs
  • Stock transfers
  • Bin location control
  • Technician van stock administration
  • Stock counts
  • Investigating stock variances
  • Monitoring minimum stock levels
  • Supplier follow-up on outstanding orders

Documentation & Compliance

Maintain

  • Service reports
  • Job card records
  • Installation documents
  • Machine commissioning records
  • Calibration certificates
  • Warranty information
  • Customer equipment registers
  • Technical manuals
  • SOP documentation

Ensure all documentation is complete, accurate and electronically filed.

Reporting & Data Management

Produce regular reports including

  • Open service calls
  • Technician utilisation
  • Response times
  • PM completion
  • Workshop turnaround times
  • First-time fix rates
  • Outstanding quotations
  • Parts usage
  • Warranty claims
  • Technician productivity
  • Service backlog

Maintain high levels of data accuracy across CRM/ERP systems.

Customer Communication

Act as the primary administrative contact for customers by

  • Confirming appointments
  • Updating customers on repairs
  • Scheduling installations
  • Following up outstanding information
  • Communicating repair status
  • Processing service documentation

Support to Technical Manager

Provide administrative support by

  • Preparing reports
  • Monitoring KPIs
  • Updating dashboards
  • Maintaining action lists
  • Coordinating meetings
  • Recording minutes where required
  • Tracking departmental projects
  • Assisting with budget information
  • Following up outstanding actions

Desired Experience & Qualification

Qualifications

  • Grade 12 (Matric)
  • Relevant diploma or certificate in Administration, Operations or Business Management preferred

Criteria

Essential

  • 3–5 years in an administrative role
  • Experience supporting operational or technical teams
  • Strong Microsoft Office skills
  • Excellent Excel capability
  • Experience coordinating multiple schedules
  • High level of computer literacy

Preferred

  • Technical service environment
  • Equipment maintenance industry
  • FMCG or manufacturing
  • ERP and CRM experience
  • Monday.com experience
