PURPOSE
Responsible for the co-ordination of Requests for Quotations (RFQs), preparation and control of technical documentation, administration of Engineering Queries (EQs), and the accuracy and integrity of technical data held in the organisation's ERP, document management systems, and technical database ensuring complete, accurate, and traceable technical information at all times. Coordinates department workflow and contributes to strategies that improve customer service, sales, efficiency, and profitability.
Duties & Responsibilities
KEY RESULT AREAS
1. RFQ Coordination - Field technical questions during quoting, route them to the right CAM Engineer, and follow up with customers. Check ERP/document systems for existing part numbers before creating new ones. Classify each RFQ (new part, revision, repeat order, ECP, or transfer), create item/part numbers per convention, and maintain organised folder structures for Gerbers, drawings, and specs. KPIs: turnaround times met, zero duplicate part numbers, consistent naming/filing conventions, timely escalation.
2. Technical Documentation- Prepare and submit Technical Data Sheets for approval, notify Quoting once approved, and maintain approved-factory records. Keep revision control unambiguous and prepare/verify stencil (paste) files for release. KPIs: information complete, accurate, and traceable at all times; confidentiality maintained.
3. Engineering Query (EQ) Administration- Maintain the EQ Register daily, log new POs/part numbers/transfers, prepare and issue EQs, track response due dates, follow up on outstanding items, and escalate unresolved queries. KPIs: register maintained daily, follow-ups on schedule, 100% traceability.
4. Data Accuracy & Integrity - Maintain naming conventions, revision control, and factory allocation records consistently across the ERP, document management system, and technical database. KPI: full compliance with company standards.
5. Department Workflow Coordination - Maintain a single register of all incoming technical work (RFQs, EQs, ECPs, transfers, corrective actions) with reference numbers, owners, and due dates. Monitor progress, escalate overdue or unclear items, and report workload summaries to the Senior CAM Engineer. KPI: all work logged, assessed, and allocated on receipt.
6. Business Contribution - Support process improvement and cost-saving initiatives; stay responsive to internal and external contacts. KPIs: deadlines and quality standards met; calls answered within 3 rings; messages accurate and complete.

Knowledge, Skills & Experience
- Grade 12 plus 5+ years' administrative experience in a technical, engineering, or manufacturing environment (PCB/electronics industry preferred).
- CAM software familiarity is advantageous. Strong document control and revision management skills.
- Excellent written and spoken English. Proven customer service skills.
- Advanced MS Office skills. Working understanding of ERP systems.
Reports to: Senior CAM Engineer (functional direction also from the Technical Specialist). No direct or functional reports.
