We are seeking a young, energetic, detail-oriented and organised individual to join our team as a Time & Attendance Clerk. The successful candidate will be responsible for administering and maintaining accurate employee time, attendance, overtime and leave records using the Eco-Time system, while supporting the timely and accurate processing of payroll.
The role will work closely with HR, Payroll and operational departments to monitor attendance, investigate and resolve discrepancies, process approved overtime and leave information, and ensure that reliable attendance data is available for payroll and management reporting. This is an excellent opportunity for a motivated individual who is comfortable working with systems and data, enjoys working in a fast-paced environment, and is looking to build their experience in HR, payroll and time & attendance administration.
Duties & Responsibilities
Time and Attendance Administration
- Maintain accurate employee attendance, overtime, shift, and leave records on the Eco-Time system.
- Monitor daily attendance records and ensure employee clockings are complete and accurate.
- Verify, investigate, and correct attendance discrepancies promptly.
- Capture and maintain approved leave transactions and employee attendance records.
- Process approved overtime.
- Prepare and submit accurate attendance information for payroll processing within required deadlines.
- Maintain the confidentiality, integrity, and accuracy of all attendance and payroll-related information.
- Identify opportunities to improve timekeeping processes, controls, and data accuracy.
Leave and Overtime Administration
- Administer leave for employees, ensuring leave applications are submitted, approved, captured, and maintained accurately with collaboration from Human Resources.
- Process overtime and ensure all supporting documentation is authorised prior to payroll submission.
- Liaise with Payroll and HR to ensure leave, overtime, and attendance information is processed accurately.
- Investigate and resolve discrepancies relating to leave, overtime, attendance records, and hours paid.
- Ensure payroll-related deadlines are consistently achieved.
Invoice Administration
- Review, reconcile, and process T&A related invoices against approved attendance records and authorised timesheets.
- Investigate and resolve discrepancies between hours worked and invoices submitted.
Employee and Management Support
- Provide support and guidance to employees, foremen, production managers, and department managers regarding attendance, leave, overtime, and timekeeping procedures.
- Respond promptly to employee queries relating to attendance, overtime, leave, and hours paid.
- Liaise effectively with Payroll and HR to resolve attendance and payroll discrepancies.
- Build effective working relationships with internal and external stakeholders to ensure efficient service delivery.
Desired Experience & Qualification
Qualifications required
- Grade 12 / Matric (Essential).
- Qualification in payroll or related field will be advantageous.
Experience and Skills & Knowledge required
- 1 - 2 years Time and attendance system experience, preferably eco-time.
- Microsoft Officer Experience (Excel required).
- Time Management and Deadline Driven.
- Effective communication skills.
- Computer literacy and data capturing skills.
- Attention to detail and accuracy.
- Administrative and organisational skills.
- Numerical Skills.
- Previous payroll experience will be an advantage.
