Duties & Responsibilities

Minimum Requirements

  • Minimum 3–5 years of relevant experience in stock control, inventory management, warehousing, stores, or parts administration
  • Previous experience within the automotive, heavy-duty vehicle, engineering, mechanical, parts, or similar technical industry is highly advantageous
  • Experience working with automotive or mechanical parts, components, consumables, and stock identification is advantageous
  • Proficient communication skills (read, write, and speak) in Afrikaans and English
  • Strong computer literacy, including Microsoft Excel, Word, email, and stock/inventory management systems
  • Experience with Pastel/Sage or similar accounting and inventory management software is highly advantageous
  • Strong numerical ability and excellent attention to detail
  • Ability to accurately capture stock movements, quantities, part numbers, serial numbers, and related information
  • Good organisational and administrative skills
  • Ability to work independently and take responsibility for the accuracy of stock
  • Ability to work effectively under pressure in a busy workshop environment
  • Honest, reliable, punctual, and accountable
  • Valid driver’s license advantageous
  • Own reliable transport
  • Must be available immediately
  • Reside in Cape Town or the immediate surrounding areas

Working Conditions

  • Working hours: Monday to Friday, 07:30 – 17:00
  • Trial period: 1–2 weeks (paid), permanent appointment subject to successful completion
  • Overtime may occasionally be required depending on operational requirements
  • Position involves both administrative duties and physical stock handling
  • Candidate must be comfortable working within an active heavy-duty mechanical workshop and stores environment

Key Duties and Responsibilities

  • Take full responsibility for the accurate control, recording, receiving, issuing, and monitoring of company stock
  • Receive incoming stock and verify quantities, part numbers, descriptions, condition, and supporting supplier documentation
  • Check delivered stock against purchase orders, delivery notes, and supplier invoices
  • Immediately report shortages, incorrect items, damaged goods, or discrepancies to management
  • Accurately capture all incoming and outgoing stock on the relevant inventory/stock management system
  • Issue parts, components, consumables, and materials to workshop personnel against the correct job card or authorised request
  • Ensure that all parts issued to specific jobs are correctly allocated and recorded against the applicable job card
  • Process and control returned, unused, damaged, warranty, and defective parts
  • Maintain accurate records of stock transfers, adjustments, returns, and write-offs
  • Maintain accurate stock quantities and ensure that physical stock corresponds with system quantities
  • Conduct regular cycle counts and scheduled physical stocktakes
  • Assist with monthly, quarterly, and annual stocktakes as required
  • Investigate stock variances and provide management with explanations and supporting documentation
  • Identify slow-moving, obsolete, excess, and frequently used stock and report findings to management
  • Monitor minimum and maximum stock levels and assist with identifying items requiring replenishment
  • Assist management and purchasing personnel with stock requirements and purchase planning
  • Liaise with suppliers regarding outstanding orders, incorrect deliveries, returns, shortages, and stock-related queries when required
  • Maintain accurate records of supplier deliveries and outstanding/back-ordered items
  • Ensure high-value parts and components are properly controlled and securely stored
  • Record and monitor serial numbers and other identifying information for relevant components where required
  • Maintain proper control over transmission components, service parts, filters, seals, gaskets, oils, lubricants, workshop consumables, and other company inventory
  • Ensure stock is correctly labelled, identified, stored, and easily traceable
  • Maintain an organised, clean, and efficient storeroom and stock-control area
  • Ensure parts and components are stored correctly to prevent damage, contamination, deterioration, or loss
  • Implement and maintain logical bin locations and stock identification systems
  • Ensure stock is not removed from the stores without the appropriate documentation or authorisation
  • Monitor stock usage and highlight unusual consumption, unexplained losses, or discrepancies to management
  • Assist in maintaining proper control of workshop consumables, tools, and other company assets where required
  • Maintain complete and accurate filing of purchase orders, delivery notes, stock issue documents, returns, credits, and other stock-related documentation
  • Assist the accounts/administration department with stock-related queries and reconciliation when required
  • Follow company procedures relating to purchasing, receiving, issuing, returns, stock adjustments, and inventory control
  • Work closely with workshop technicians, management, administration, suppliers, and other employees to ensure parts are available when required
  • Assist with the collection and delivery of parts from customers and suppliers when necessary and if appropriately licensed
  • Identify opportunities to improve stock-control procedures, reduce stock losses, minimise unnecessary purchasing, and improve overall inventory accuracy
  • Maintain confidentiality and exercise a high level of integrity when dealing with company stock, supplier pricing, purchasing information, and company records
  • Perform other reasonable stock-control, stores, procurement, and administrative duties as required by management

Package & Remuneration

From R18 000 + (Salary is market-related, depending on qualifications, skills, and experience.)
