Senior Wage clerk

Position: Senior payroll

Area: Kloof

Duties

• Manage departmental staff, i.e. wage clerks, costing clerk and admin clerk.
• Ensure that all timesheets come in on time to the payroll office to ensure that there is no delay in capturing of wages.
• Ensure deadlines are met every fortnight in respect of wage capture.
• Ensure pay period files are complete as per SOP time frame, i.e. before roll over.
• Sign off schedules against cost allocation and excel run per site and per week ensuring they balance.
• Notify the Accounts Manager of any problems or foreseen problems immediately.
• Check all supervisors' timesheets before payments are made and forward a bi-weekly report per site to the Accounts Manager.
• Audit the wage files and sign off before wages are rolled over.
• Ensure the bank run, payroll summary and schedules balance.
• Receive and compile a report bi-weekly on deductions for PPE for the pay run.
• Ensure that new client information, plus current clients rate changes and rules are adhered to.
• Ensure schedules from clients are received on time for capturing purposes.
• Ensure purchase order numbers are received before wages are paid so that invoicing can be done.
• Ensure that you are present when staff need to work late.
• Ensure that all garnish orders are administered correctly.
• Complete the payroll run after ensuring all bi-weekly timesheets have been captured.
• Send complete wage schedules with POs to the Accounts Manager to authorize.
• Once balanced create the bank import file and send it to the Accounts Manager, Directors with the payroll summary and excel run.
• Update pay slips to the T drive.
• Update proof of payment to the T drive.
• Update pay period and then begin new bi-week.
• Ensure that wage queries are dealt with correctly and timeously.

Relevant qualification

Must have minimum of 3 years including supervisory role

Must be residing around Kloof and surrounding areas.
