Detail: Key Responsibilities: Coordinate purchase orders with overseas suppliers from placement through to delivery. Manage proforma invoices, deposit payments, balance payments, and shipping documentation. Capture and maintain accurate order information on internal systems. Track order progress and manage critical paths to ensure on-time delivery. Coordinate fit, QA, pre-shipment, and bulk production samples. Measure, inspect, photograph, and prepare specification sheets for buyer approvals. Follow up with buyers and suppliers regarding approvals, amendments, and outstanding actions. Arrange courier collections and monitor supplier shipments. Consolidate shipments and coordinate container arrivals with the warehouse. Handle quality claims, breakages, late deliveries, and factory claims. Prepare and maintain delivery schedules, production schedules, stock sheets, and order trackers. Coordinate private label and stock customer orders, including BPS samples and sealing requirements. Update picture books, image catalogues, and PowerPoint presentations for new products. Manage DC bookings and coordinate warehouse deliveries. Liaise with CMTs regarding refinishing requirements and production updates. Attend buyer meetings, prepare meeting minutes, and provide regular customer updates. Maintain accurate stock records and reconcile warehouse inventory. Respond to buyer, warehouse, supplier, and customer queries promptly and professionally. Requirements: 5–7 years' experience in a product coordination, merchandising, production coordination, or similar role within the fashion, apparel, textile, or retail industry. Strong understanding of garment production, quality assurance, imports, and supply chain processes. Experience coordinating overseas suppliers and chain store buyers. Knowledge of critical path management and order tracking. Excellent administration and organisational skills. Strong attention to detail with the ability to manage multiple deadlines simultaneously. Proficient in Microsoft Excel, PowerPoint, and Outlook. Experience working with ERP or order management systems is advantageous. Excellent verbal and written communication skills.
