Join a dynamic South African logistics and export company dedicated to facilitating international trade across markets including India and the Middle East. Our client, an established organization within the shipping and freight industry, is seeking a skilled Sales Administrator to support their export and logistics operations. This is your chance to play a vital role in a collaborative environment, ensuring smooth order processing and timely shipments for diverse international clients.
Duties
- Provide comprehensive administrative support to the sales team and Operations Manager.
- Manage the entire sales administration process from order receipt to final delivery and documentation.
- Accurately capture, process, and maintain sales orders.
- Coordinate order confirmations, pricing, quantities, delivery requirements, and customer instructions.
- Keep customer and order records current and precise.
- Monitor order progress and proactively follow up on outstanding actions.
- Liaise with sales representatives, customers, suppliers, freight forwarders, shipping lines, and internal stakeholders.
- Ensure all sales and operational documentation is properly filed and easily accessible.
- Coordinate export logistics, including shipping bookings and vessel schedules.
- Work closely with shipping lines, freight forwarders, clearing agents, and ports.
- Track vessel availability, bookings, cut-off dates, ETDs, and ETAs.
- Manage shipment schedules, ensuring deadlines are met and handling delays or schedule changes.
- Provide timely updates on shipment developments and prepare export documentation such as commercial invoices and packing lists.
- Collaborate with customs and forwarding agents on export requirements.
- Maintain accurate records of all export documentation and correspondence.
- Apply understanding of Incoterms to ensure compliance and cost efficiency.
- Assist with international trade administration, including Letters of Credit and trade finance documentation.
- Serve as the primary contact for customer queries, providing updates and building strong relationships.
- Support sales, shipping, and logistics activities for international markets, ensuring smooth communication and documentation.
Requirements
- Minimum of 3 years relevant experience in international shipping, export processes, or logistics.
- Strong knowledge of shipping lines, vessel bookings, and booking systems.
- Proven experience coordinating orders, export documentation, and customer communications.
- Excellent administrative, organizational, and communication skills.
- Familiarity with trade finance, including Letters of Credit.
- Proficiency in Microsoft Excel and other relevant software.
