KEY PERFORMANCE AREAS & RESPONSIBILITIES Building & Operations Management
- Oversee total day-to-day residence operations, maintenance management, BMS systems, and health & safety OHS compliance.
- Manage property repairs, refurbishments, revamps, and routine preventative/reactive maintenance.
- Conduct regular property inspections, building walkabouts, room handovers, and maintenance audits.
- Maintain property asset registers and monitor utility meter reading schedules.
- Supervise site staff, including Assistant Residence Managers, handymen, and external service contractors.
- Manage document storage facilities ensuring secure retention of student files and site records.
Student Life & Administration
- Assist with student application, intake, check-in, key handover, and vacate processes.
- Enforce house rules, evaluate incidents of student misconduct, and implement appropriate corrective actions.
- Establish standard procedures for emergency response, student crises, and student welfare support.
- Facilitate student life programs, events, mentoring, and continuous engagement.
- Maintain accurate student schedules, occupancy records, and vacancy tracking schedules.
Financial Management
- Assist the Property Manager with income and expenditure operational budget management.
- Manage access control permissions based on credit control recommendations.
- Prepare and submit monthly client management report packs, financial variance notes, foot traffic statistics, and operational summaries timeously.
- Assist with internal and external operational and financial audit
Contractor & Public Relations
- Maintain professional relations with external vendors, contractors, and suppliers.
- Develop strong working relationships with university support departments and external stakeholders.
- Assist marketing and PR teams with site tours, open days, and student recruitment efforts.

- Exceptional leadership, team management, and delegation skills.
- Strong crisis management, conflict resolution, and problem-solving capabilities.
- Ability to mentor young adults and respond empathetically to student needs.
Operational & Business Acumen
- Good understanding of property management, lease agreements, facilities maintenance, and building equipment.
- Strong administrative, reporting, and budget control capabilities.
- Technologically proficient with facility and property management software.
Minimum Requirements
- Grade 12 / Matric Essential
- Tertiary qualification in Property Management, Facilities Management, or Hospitality Preferred
Experience
- Minimum 6 years' overall related work experience, including at least 2 years in a supervisory/management role.
- Direct experience in Student Accommodation management is essential.
- Proficiency in MS Office and property management software packages.
SPECIAL CONDITIONS & REQUIREMENTS
- On-Site Residence Requirement: As an essential job requirement, the Residence Manager is required to reside in designated on-site accommodation provided by the employer to handle after-hours operational emergencies and student welfare needs.
- Working Hours: The role requires flexibility outside standard office hours 08:00 to 17:00, including weekends and evenings when urgent student or operational situations arise.
