Rental Arrears Administrator
Mowbray, Cape Town (in-office)
Remuneration: R22 000 CTC negotiable
A growing and dynamic property company based in Mowbray is seeking to appoint an experienced Arrears Administrator to join its Asset Management Accounts department.
This is a hands-on administrative role focused on rental collections, arrears management, legal matter coordination and accurate reporting. The successful candidate will communicate regularly with landlords, tenants, portfolio managers, brokers, collection agents and legal counsel to ensure that arrears and legal matters are managed efficiently and all parties remain informed throughout the process.
The role will also provide support to the company’s Sectional Title Management division with collections, legal matters and general administration when required.
Minimum Requirements
- Previous experience in rental collections, arrears administration or property accounts
- Experience dealing with landlords, tenants and third-party collection agents
- An understanding of legal collection processes, evictions, ejectments and rental-related disputes
- Experience using Asana or a similar task-management platform would be advantageous
Key Responsibilities
- Manage the administration of rental collections, arrear rental collections, commission collections and outstanding commission collections
- Communicate with landlords, tenants and other relevant parties regarding arrears and the collection process
- Manage the administration of matters referred to third-party collection agents
- Review and action reports received from third-party collection agents
- Provide consistent feedback on arrears and collections to portfolio managers, brokers, the team leader and management
- Prepare for and attend weekly internal meetings regarding arrears and collections
- Compile weekly arrears and collections reports
- Correspond with and assist internal and external legal counsel with collections, evictions, ejectments, Rental Housing Tribunal matters and litigation
- Prepare handover files and supporting information for legal counsel and provide the necessary instructions
- Maintain regular communication with legal counsel regarding pending matters
- Prepare for and attend weekly meetings with legal counsel and provide feedback on outstanding matters
- Communicate with landlords, tenants and other relevant parties regarding legal matters and the applicable processes
- Provide internal feedback on legal matters to portfolio managers, brokers, the team leader and management
- Generate weekly reports on all pending legal matters
- Provide general administrative assistance to the Asset Management Accounts team
- Keep tenants, landlords and portfolio managers or brokers updated throughout each relevant process
- Manage task workflows on Asana, ensuring that notes are current, documents are uploaded and all task information is accurate
- Provide weekly reports to the Accounts Team Leader regarding statistics and workflows
- Assist with the collection of outstanding levies, management fees and other amounts due within the Sectional Title Management division
- Assist with related legal matters and general administration when required
- Provide additional support to the Asset Management and Sectional Title Management departments when reasonably required
