CORE PURPOSE OF THE JOB

  • To provide a shared regional support function that assists the Region with marketing events and collateral, first-line IT coordination, facilities coordination, office administration, supplier liaison, logistics, asset and equipment support, health and safety administration, and general operational requirements.
  • The role is intended to support the smooth day-to-day running of regional activities by acting as a practical, hands-on coordination resource between the Region, IT, Facilities, Marketing, internal stakeholders and external service providers.

MAIN FUNCTIONS OF THE JOB

Regional Marketing, Events and Brand Support

  • Coordinate and assist with the planning and execution of regional events, including customer events, exhibitions, trade shows, internal functions and product launches.
  • Liaise with internal stakeholders and external suppliers to coordinate event logistics, venues, catering, promotional items and event materials.
  • Manage regional marketing collateral, ensuring brochures, flyers, banners, branded merchandise and promotional materials are available, current, displayed and distributed as required.
  • Assist with sourcing, ordering and maintaining branded marketing materials and promotional merchandise.
  • Support pop-up events and presentations within the region, including setup and breakdown of marketing material.
  • Maintain an inventory of marketing assets and monitor stock levels for regional marketing material.
  • Support the regional team with marketing-related administration, including purchasing, collections and coordination where applicable.
  • Work closely with the Marketing team to ensure brand consistency and compliance with corporate marketing standards.

IT Coordination and First-Line Technical Support

  • Provide first-line IT support and technical assistance to regional users across branches and offices.
  • Serve as the regional IT Helpdesk, ensuring incidents and service requests are logged, tracked, escalated, and resolved within agreed service levels.
  • Troubleshoot and resolve common desktop, laptop, printer, scanner, mobile device, peripheral, and connectivity issues.
  • Support Microsoft 365 applications, including Outlook, Teams, OneDrive, SharePoint, and Office applications.
  • Assist with user account administration, password resets, equipment allocation, and onboarding/offboarding activities.
  • Perform basic workstation setup, software installation, equipment replacement, and hardware deployment activities.
  • Support the rollout of new IT equipment, branch technology refreshes, upgrades, and project implementations.
  • Maintain accurate records of IT assets, equipment movements, user allocations, and inventory.
  • Conduct periodic technology audits and assist in ensuring compliance with IT policies and standards.
  • Escalate complex technical issues to infrastructure, security, network, or application support teams as required and coordinate follow-up with users.

Audio Visual & Meeting Technology Support

  • Set up, configure, test, and support audio-visual equipment for meetings, conferences, training sessions, exhibitions, and corporate events.
  • Provide hands-on support for Microsoft Teams Rooms, video conferencing systems, projectors, displays, presentation screens, microphones, speakers, webcams, and related technology.
  • Ensure meeting rooms and presentation venues are operational, connected, and presentation-ready prior to events.
  • Assist presenters, trainers, executives, and management teams with technology requirements during meetings and events.
  • Troubleshoot audio, video, display, connectivity, and conferencing issues during live sessions.
  • Maintain and coordinate AV equipment inventories and ensure equipment is secure, functional, and properly maintained.

Regional Technical Field Support

  • Travel between branches and regional offices to provide onsite technical support when required.
  • Coordinate equipment installations, office technology setups, relocations, and hardware replacements.
  • Assist with network equipment deployment, basic cabling coordination, workstation moves, and connectivity troubleshooting under the guidance of IT teams.
  • Support business continuity and disaster recovery activities relating to user technology and regional infrastructure, where required.
  • Provide practical hands-on support during branch openings, office moves, upgrades, audits, and regional projects.

Facilities Coordination and Building Support

  • Coordinate office and building maintenance matters, including logging issues, following up with service providers and escalating unresolved matters.
  • Assist with the day-to-day upkeep of regional offices and meeting spaces, including inspections, cleanliness, general maintenance and workspace readiness.
  • Support management of cleaning staff, office supplies, consumables and facilities-related service requests.
  • Liaise with contractors and facilities service providers in respect of maintenance, cleaning, pest control, garden services and other agreed services.
  • Assist with office relocations, workspace setup, furniture arrangements and minor facilities-related tasks within competency limits.
  • Support coordination of generator, UPS, air-conditioning, CCTV, alarm and related building-service matters where regional follow-up is required.

Occupational Health, Safety and Security Administration

  • Assist with health and safety administration for the region, including follow-up on OHS action items, audit matters, signage, training records and compliance checks.
  • Support coordination of fire drills, evacuation drills and OHS meetings where required.
  • Assist with regional security-related administration, including liaison with service providers and escalation of security concerns.
  • Support branches and regional offices with OHS and security follow-ups, reports and outstanding items.

Logistics, Assets, Courier and Document Support

  • Coordinate delivery, collection, movement and accountability of IT, facilities, marketing and office equipment or materials.
  • Maintain registers or records for regional marketing assets, IT equipment, courier items and other operational assets where required.
  • Arrange courier services and track delivery of documents, equipment, marketing material and goods.
  • Assist with document collation, pack preparation, printing, photocopying, binding, filing and distribution where required.
  • Support branch openings, relocations, audits, exhibitions, regional campaigns and other special projects requiring practical logistical assistance.

Vehicle, Licensing and Proxy Support

  • Support administration relating to company vehicles used within the region, including maintenance follow-ups, licensing, service coordination and related records.
  • Act as proxy representative where required to obtain duplicate NATIS documents, renew licences and assist with related vehicle administration processes.
  • Assist with driver, messenger, collection or delivery duties where operationally required and authorised.
  • Ensure company documents, assets and materials are handled securely during transport, collection and delivery.

General Regional Administration and Operational Support

  • Provide general administrative and operational support to the regional team as required.
  • Assist with purchasing coordination, payment requisitions, supplier documentation, collections and follow-ups where applicable.
  • Support stationery and office supply management, including stock monitoring, ordering and reconciliation where required.
  • Provide relief reception, mail, visitor or front-office support where required for regional continuity.
  • Maintain accurate records, work logs and follow-up trackers for assigned regional support activities.
  • Respond to ad hoc requests requiring practical support, coordination or on-site assistance within the scope of the role.
