Introduction

We are seeking a highly organised, proactive, and personable   Receptionist   to be the welcoming face of our company in Umhlanga, KwaZulu-Natal. The ideal candidate will manage front desk operations efficiently, ensuring a positive and professional first impression for all visitors, clients, and callers.

Previous experience as a Receptionist within a Financial Services Provider (FSP) is essential, together with practical experience and knowledge of the Liberty Life system.   The successful candidate will be professional, well presented, client-focused, and highly organised, with excellent communication skills and a strong work ethic.

Duties & Responsibilities

▶   Front Desk Management:   Greet and welcome clients, guests, and visitors with a warm and professional demeanour, ensuring they feel comfortable and attended to. Answer, screen, and forward incoming phone calls in a timely and courteous manner.

▶   Visitor Management:   Receive and assist visitors and clients and direct them to the appropriate personnel or meeting rooms.

▶   Data Capturing:   Accurately capture and update client, visitor, contact, and other administrative information on company systems, ensuring accuracy and data integrity.

▶   Liberty Life System:   Utilise the Liberty Life system for relevant administrative functions and demonstrate a sound understanding of the system and processes.

▶   FSP Administration:   Provide general reception and administrative support within a financial services environment, with an understanding of the professional and confidential nature of the industry.

▶   Meeting Room Management:   Efficiently manage and schedule boardroom bookings, ensuring meeting rooms are prepared, tidy, and presentable before and after meetings.

▶   Hospitality Services:   Prepare and serve beverages, including coffee and tea, for clients, guests, and internal meetings, maintaining high standards of presentation.

▶   Mail and Deliveries:   Receive and distribute incoming mail and packages and prepare outgoing mail and shipments.

▶   Administrative Support:   Provide general administrative and clerical support, including filing, scanning, copying, document preparation, and maintaining office supplies.

▶   Office Presentation:   Ensure the reception area and common spaces are consistently tidy, organised, and presentable, reflecting a professional image of the company.

▶   Client Service:   Deliver a consistently professional and courteous service to clients, visitors, and colleagues, maintaining confidentiality at all times.

Desired Experience & Qualification

Qualifications   ▶ Matric / Grade 12.

Experience   ▶   Proven experience as a Receptionist within a Financial Services Provider (FSP) is essential. Experience within a financial planning, insurance, wealth management, or related financial services environment will be advantageous.

Liberty Life System Experience   ▶   Practical experience and knowledge of the Liberty Life system is essential.

Communication Skills   ▶ Exceptional verbal and written communication skills, with the ability to interact professionally with clients, visitors, colleagues, and service providers.

Organisational Skills   ▶ Highly organised with strong time management abilities and the capacity to multitask effectively in a fast-paced environment.

Technical Proficiency   ▶ Proficient in Microsoft Office Suite, including Word, Excel, and Outlook, and comfortable using general office equipment such as printers and scanners.

Professional Demeanour   ▶ A naturally warm, approachable, and diplomatic personality with a strong commitment to providing excellent client service.

Presentation   ▶ A professional and polished appearance, reflecting the company's commitment to excellence and professionalism.

Proactive and Adaptable   ▶ Ability to anticipate needs, take initiative, and adapt to changing priorities with a positive attitude.

Confidentiality and Integrity   ▶ Ability to handle confidential client and company information with discretion, professionalism, and integrity.

Location Preference   ▶ Candidates residing in or around   Umhlanga and the surrounding areas   will be highly regarded.

Package & Remuneration

Remuneration   ▶   R12,000.00 per month.
