The successful candidate will be responsible for providing a warm and efficient welcome to guests while ensuring that all Front Office procedures are handled accurately and professionally . As one of the first and last points of contact for guests, the Receptionist plays an important role in creating a positive and memorable hotel experience. This position is ideally suited to an energetic hospitality professional with at least one year of Front Office experience who takes pride in delivering excellent guest service . Detail: Duties: Guest Relations & Front Desk: Welcome all guests in a warm, friendly and professional manner. Conduct efficient and accurate guest check-ins and check-outs. Provide guests with information regarding hotel facilities, services, rates and local attractions. Respond to guest requests, queries and complaints promptly and professionally. Take ownership of guest concerns and escalate matters to the Front Office Manager or Duty Manager when required. Maintain a high standard of guest service throughout the guest's stay. Assist with special requests, VIPs and special occasions. Reservations & Room Management: Assist with reservations, amendments and cancellations. Maintain accurate guest profiles and reservation information on the hotel PMS. Monitor arrivals, departures, room availability and special requests. Liaise closely with Housekeeping regarding room status and guest requirements. Assist with room allocations and room moves where required. Promote available hotel services and opportunities for appropriate upselling. Front Office Administration: Process guest accounts, payments and invoices accurately. Handle cash and credit card transactions in accordance with hotel procedures. Complete shift cash-ups and relevant Front Office reports. Maintain accurate records, registration details and guest documentation. Manage incoming telephone calls, emails and messages professionally. Maintain an accurate and effective handover between shifts. Ensure the reception desk and Front Office areas remain neat, organized and professionally presented. Interdepartmental Communication: Communicate effectively with Housekeeping, Maintenance, Food & Beverage and Management. Follow up on guest requests and ensure they are communicated to the relevant department. Report maintenance issues and operational concerns promptly. Participate in Front Office briefings and maintain awareness of daily hotel activities. Requirements: Matric / Grade 12 required Minimum 1 year's experience in a Front Office department within a hotel environment. Previous experience with a hotel Property Management System (PMS) is essential. Proficiency in Microsoft Office and Outlook. Proven record of good guest relations and customer service. Excellent verbal and written communication skills. Professional and well-presented appearance. Strong attention to detail and accuracy. Good organizational and administrative skills.
