About the Role A busy, fast-paced business centre is seeking a friendly, professional and proactive Receptionist / Administrator. This is not a passive front-desk role — we need someone who thinks ahead, takes initiative, and works independently without constant supervision. The ideal candidate is someone who notices what needs to be done and does it. Someone who solves problems, supports clients, manages the front office confidently, and keeps operations running smoothly. Main Responsibilities
- Welcoming clients and visitors professionally
- Answering and managing incoming calls
- Managing reception emails and general enquiries
- Assisting clients and tenants with day-to-day queries
- Managing boardroom and meeting room bookings
- Preparing meeting rooms for clients
- General reception and office administration
- Printing, scanning, filing and data capturing
- Assisting with invoicing and basic financial administration
- Using Sage and other office systems
- Monitoring office and kitchen supplies
- Assisting with stock takes and stock control
- Identifying low stock and arranging replenishment
- Assisting with shopping and collecting supplies when required
- Running occasional business-related errands
- Supporting general day-to-day operations of the business centre
- Reporting maintenance, IT or facility issues to management
- Assisting with opening and closing procedures when required
The Ideal Candidate Someone who is: • Friendly, approachable and well-presented • A quick thinker with strong initiative • Reliable, punctual and organised • Able to multitask and remain calm when things get busy • Comfortable working independently • Confident dealing with clients, tenants and suppliers • Good at problem solving and finding practical solutions • Comfortable using computers and learning new systems • Honest, trustworthy and willing to assist wherever needed Initiative is essential. We need someone who will act before being asked — for example: If stock is running low, they communicate it before it becomes a problem. If a client has an issue, they try to find a solution rather than saying 'I don't know'. Minimum Requirements
- Matric / Grade 12
- Previous reception, administration or customer service experience
- Valid driver's licence — essential
- Computer literate
- Good English communication skills
- Strong telephone and email etiquette
- Ability to work independently
- Strong organisational skills
- Good attention to detail
- Ability to multitask
- Professional appearance and manner
Advantageous Experience
- Sage experience
- Invoicing experience
- Stock control experience
- Experience in a business centre, office environment, property or hospitality
- Experience dealing with clients or tenants
