PURPOSE OF THE ROLE The Receptionist is responsible for managing front-of-house operations while providing administrative and operational support across the site. This role ensures a professional first point of contact for all visitors, supports internal coordination, and maintains efficient office and site functionality through effective communication, supply management, and administrative control. KEY RESPONSIBILITIES 1. Front Office & Visitor Management Serve as the first point of contact for all visitors, clients, and suppliers. Welcome and direct visitors in a professional and friendly manner. Manage the reception area to ensure it is clean, organized, and presentable at all times. Issue visitor access, maintain visitor logs, and ensure compliance with site access protocols. Coordinate meeting room bookings and ensure readiness for meetings. Assist in coordinating internal events or site visits when required. 2. Communication & Switchboard Management Operate the switchboard, answering and directing incoming calls efficiently. Take accurate messages and ensure timely communication to relevant staff. Manage general email inboxes (if applicable) and redirect queries accordingly. Handle general enquiries from external parties (suppliers, transporters, clients) and provide appropriate information or escalate as required. Maintain clear and professional communication at all times. 3. Administrative Support Manage incoming and outgoing courier and mail, including logging and tracking all packages together with notifying relevant staff. Maintain filing systems (physical and electronic) including delivery records, contractor registers, and general correspondence. Capture and update data on relevant systems or spreadsheets as required by the DC Manager or Operations team. Coordinate meeting room bookings for the DC and assist with general logistical arrangements for on-site meetings. Assist with document preparation, filing, scanning, record-keeping, typing, photocopying, and distribution of documents. Provide operational cover for the Stock Clerk role when required, including stock reconciliation and system verification, invoice management and corrections, and physical stock checks and adjustments. 4. Stationery & Consumables Management Monitor, maintain and safely store adequate levels of office stationery and consumables across departments. Order stationery and consumables in line with budget controls and operational needs. Track usage trends and implement cost-saving initiatives where possible. 5. Cleaning Chemicals & Site Hygiene Consumables Manage the ordering and stock levels of cleaning chemicals and hygiene consumables for both office and site. Ensure chemicals are ordered in line with safety standards and operational requirements. Ensure availability of required materials. Maintain basic records of stock usage and replenishment cycles. 6. Health & Safety Compliance Ensure all visitors comply with health and safety requirements. Enforce personal protective equipment (PPE) requirements at the reception point (e.g., high-visibility vests, safety boots) and refuse access to non-compliant visitors. Maintain the DC's emergency contact list and evacuation register; assist during emergency drills and evacuations. Report any safety incidents, hazards, or breaches at the reception area to the relevant Health & Safety Officer or DC Manager immediately. Support audits by ensuring reception and admin processes align with compliance standards. 7. Culture & Team Support Promote a professional, positive, and welcoming environment aligned with company culture (HOHOLA values). Build strong working relationships across departments. Demonstrate adaptability in a fast-paced, ever-changing environment. Assist with distribution of internal communications, notices, or memos to DC staff as directed. Build and maintain positive professional relationships by engaging confidently and respectfully with diverse personalities, while fostering effective communication and collaboration.
