About the job
The Property Revenue & Lease Administrator is responsible for the administration of tenant billing, lease administration, accounts receivable, credit control and bookkeeping to Trial Balance across a portfolio of retail commercial properties. The role ensures accurate revenue management, timely collections and effective financial administration while working closely with the Property Management and Finance teams to support the day-to-day management of the retail portfolio.
Duties & Responsibilities
1. Lease Administration
- Maintain lease information, tenant records, lease abstracts and critical lease dates within the MDA property management system.
- Ensure tenant files comply with FICA and POPIA requirements.
- Process lease renewals, rental escalations (CPI and fixed increases) and turnover rental calculations.
- Maintain the rental roll and assist with lease-related administration.
2. Tenant Billing & Revenue Administration
- Generate accurate monthly tenant invoices, including rental charges, utility recoveries, maintenance recoveries and tenant installation amortisation.
- Verify municipal recoveries and reconcile PEC values against City of Cape Town invoices.
- Record and allocate tenant receipts.
- Maintain tenant deposits and issue tenant statements.
- Respond to tenant billing queries promptly.
3. Credit Control
- Monitor tenant arrears and manage the accounts receivable portfolio.
- Prepare age analyses and follow up on overdue accounts.
- Issue demand letters and negotiate payment arrangements where required.
- Maintain positive relationships with tenants while ensuring effective debt collection.
4. Bookkeeping & Reporting
- Perform bookkeeping to Trial Balance for multiple entities.
- Reconcile tenant accounts, rental income and the accounts receivable ledger.
- Investigate and resolve discrepancies.
- Prepare arrears reports and other financial information for management.
5. Collaboration & Compliance
- Work closely with the Property Management team to resolve tenant and billing matters.
- Liaise with internal stakeholders to support the effective management of the retail property portfolio.
- Ensure compliance with company policies, lease agreements and applicable financial regulations.
Desired Experience & Qualification
- Diploma in Accounting, Finance, Bookkeeping or a related field.
- 2-3 years' experience in bookkeeping to Trial Balance.
- Minimum 3 years' experience in commercial retail property administration.
- Minimum 3 years' experience using MDA Property Manager.
- Experience in lease administration, tenant billing and rental recoveries.
- Strong accounts receivable and credit control experience.
- Experience with reconciliations and month-end reporting.
- Valid driver's licence and reliable transport to visit properties.
