Start free — we apply for you →- An established civil engineering and construction organisation specialising in earthworks and infrastructure development is seeking a reliable and adaptable Office Administrator to join its team in Silverton, Pretoria. The position will primarily focus on procuring materials, coordinating the booking of materials, plant and equipment, and taking ownership of stores and stock management once trained. The successful candidate must be organised, accurate, professionally presented and willing to learn additional administrative functions to support teamwork and business continuity.
Minimum Requirements
- Grade 12 / Matric
- Valid driver's licence and own reliable vehicle
- Minimum of 2 years' administrative experience within the construction industry
- Previous procurement or purchasing experience
- Experience sourcing, renting and purchasing materials, plant and equipment for construction sites
- Experience sourcing and purchasing fittings and other stock required for projects
- Experience in stores administration, stock management and stock control
- Experience loading and processing supplier invoices
- Proficiency in Pastel
- Proficiency in Microsoft Office, including Word, Excel and Outlook
- Excellent written and verbal communication skills
- Strong organisational, coordination and record-keeping abilities
- High level of accuracy and attention to detail
- Ability to manage multiple daily responsibilities effectively
- Reliable, adaptable and able to take ownership of assigned responsibilities
- Open-minded, eager to learn and willing to grow within the organisation
- Team-oriented and willing to provide operational cover when colleagues are absent
- Professional appearance and presentation
Duties and Responsibilities
- Procure materials, fittings, parts and stock required for construction projects and daily operations
- Source suitable suppliers and obtain the necessary information for purchasing decisions
- Coordinate the booking and availability of materials, plant, machinery and equipment for construction sites
- Source, rent and purchase plant, equipment and materials required for new and existing construction sites
- Liaise with suppliers and follow up on quotations, orders, deliveries and outstanding items
- Liaise with Directors and relevant team members regarding stock, materials, plant and equipment requirements
- Take ownership of the stores and stock management function once fully trained
- Monitor stock levels and arrange replenishment when required
- Maintain accurate records of stock received, issued and available
- Ensure that stores and stock records are organised, accurate and kept up to date
- Load and process supplier invoices on Pastel
- Maintain accurate records of orders, supplier invoices, deliveries and stock levels
- Provide general office and construction administration support
- Maintain organised administrative records and filing systems
- Assist colleagues and provide administrative cover during periods of leave or illness to ensure business continuity
- Learn additional administrative functions over time, including job card administration and safety administration
- Cross-train in other office responsibilities to provide support when operational cover is required
- Manage procurement and stores responsibilities while assisting with other administrative duties when needed
- Represent the organisation professionally when dealing with suppliers, colleagues and external stakeholders
