Start free — we apply for you →- We're looking for a Personal Assistant to the Portfolio Manager, based in Umdloti, who thrives in a fast-paced environment, stays one step ahead and confidently manages multiple priorities.
Key responsibilities: Executive & Personal Assistance:
- Provide high-level administrative and personal support to the Portfolio Manager.
- Manage diaries, meetings, appointments and schedules.
- Coordinate meetings and ensure all necessary information is prepared in advance.
- Prepare agendas, presentations, reports and correspondence.
- Take accurate meeting minutes and ensure action items are followed up.
- Manage and prioritise the Portfolio Manager's daily to-do list.
- Follow up on outstanding tasks and ensure deadlines are met.
- Coordinate communication between internal teams and service providers.
Organisation & Administration
- Maintain highly organised electronic and physical filing systems.
- Prepare and maintain spreadsheets, reports and schedules.
- Handle confidential information with professionalism and discretion.
- Assist with projects and special assignments.
- Ensure important deadlines, renewals, meetings and commitments are proactively tracked.
Advanced Excel & Technology: The successful candidate must be highly proficient in Microsoft Excel, including the ability to work confidently with:
- Formulas and functions
- Data management
- Pivot tables
- Sorting and filtering
- Reports and dashboards
- Data analysis and presentation
- You must also be comfortable using AI tools such as ChatGPT and other AI platforms to improve efficiency, research information, create documents, analyse data and streamline everyday administrative processes.
Requirements
- Relevant qualification in Business Administration, Office Administration, Executive Assistance, Management, or a related field.
- Minimum 3 years' relevant experience in a Personal Assistant, Executive Assistant, Office Manager or similar senior administrative role.
- Advanced Microsoft Excel skills.
- Strong computer literacy and excellent knowledge of Microsoft Office.
- Experience using AI tools in a professional environment is highly advantageous.
- Excellent written and verbal communication skills.
- Professional, polished and well-spoken.
- Valid driver's licence.
- Own reliable vehicle is essential.
- Ability to work under pressure and manage multiple priorities simultaneously.
