Start free — we apply for you →Our client, an established short-term insurance brokerage in Pretoria East, is seeking an experienced and highly organised Personal Assistant to support one of their Directors. The role requires a mature, discreet professional who is comfortable managing a demanding diary, competing priorities and confidential information with minimal supervision. This is a key support position within the business and would suit someone who takes genuine ownership of their portfolio.
Key Responsibilities

 
 • Manage the Director's diary, appointments and meeting schedule, resolving conflicting priorities proactively 
 • Act as the first point of contact for the Director, screening calls, correspondence and enquiries 
 • Manage the Director's inbox, prioritising and flagging urgent matters for attention 
 • Prepare agendas, board and management packs, take minutes and follow up on action items 
 • Draft, format and proofread letters, reports, presentations and internal communications 
 • Coordinate internal and external meetings, including venue bookings, catering and logistics 
 • Arrange local and international travel, including flights, accommodation, itineraries and visas 
 • Process expense claims and invoices, and reconcile the Director's credit card statements 
 • Maintain confidential filing systems for company, personal and HR-related documentation 
 • Liaise professionally with clients, insurers, service providers and internal staff on the Director's behalf 
 • Track deadlines, deliverables and compliance dates on behalf of the Director 
 • Assist with the coordination of company events, functions and client entertainment 
 • Handle ad hoc personal administration for the Director as required 
 • Provide support to the broader management team where capacity allows 

Requirements
- Minimum of 3–5 years' experience as a Personal Assistant or Executive Assistant supporting senior management or director level
- Matric (Grade 12); a secretarial or office administration qualification advantageous
- Advanced computer literacy in MS Outlook, Word, Excel and PowerPoint
- Proven experience in complex diary management and travel coordination
- Excellent written and verbal communication skills in English; Afrikaans advantageous
- A high level of discretion and proven ability to handle confidential information
- Strong prioritisation skills with the ability to remain composed under pressure
- Ability to work independently, anticipate needs and take initiative
- Valid driver's licence and own reliable transport
- Previous experience within financial services or insurance advantageous
