Key Duties & Responsibilities Executive Office Management

  • Manage the Director's calendar, ensuring optimal scheduling and prioritisation.
  • Coordinate meetings, appointments and executive engagements.
  • Manage competing priorities and proactively resolve scheduling conflicts.
  • Prepare daily and weekly schedules, briefing packs and agendas.
  • Ensure efficient administration of the Executive Office.

Executive Support

  • Prepare correspondence and executive documentation.
  • Screen, prioritise and manage incoming communications.
  • Draft professional correspondence on behalf of the Managing Director.
  • Track actions arising from meetings and ensure timely follow-up.
  • Maintain confidential records and executive files.

Meeting & Governance Coordination

  • Coordinate Executive Leadership Team ELT/CMT meetings and Board-related activities.
  • Prepare meeting packs, agendas and supporting documentation.
  • Record meeting outcomes and monitor action items.
  • Ensure governance documentation is completed accurately and on time.
  • Support the coordination of leadership forums and strategic events.

Stakeholder Coordination

  • Serve as the primary point of contact for internal and external stakeholders.
  • Coordinate engagements with Coca-Cola system partners, customers and service providers.
  • Liaise with senior leaders across business functions.
  • Build strong relationships while maintaining professionalism and discretion.

Travel & Event Management

  • Coordinate domestic and international travel arrangements.
  • Manage accommodation, transport and travel itineraries.
  • Prepare travel documentation and expense submissions.
  • Coordinate executive events, leadership workshops and stakeholder engagements.

Administration & Office Operations

  • Manage executive correspondence and document control.
  • Maintain filing systems and records.
  • Process invoices, purchase requests and expense claims.
  • Coordinate office logistics and administrative requirements.
  • Ensure compliance with company administrative policies.

Skills, Experience & Education Education

  • Diploma or Bachelor's Degree in Business Administration, Office Management, Executive Assistance or a related field.

Experience

  • 8-10 years' experience supporting C-suite or senior executives.
  • Experience in a large corporate or multinational organisation.
  • Proven experience managing complex executive calendars and travel.
  • Experience coordinating executive meetings and governance activities.
  • Experience preparing executive presentations and reports.

Skills

  • Exceptional organisational and executive coordination capability.

  • Excellent judgement, discretion and confidentiality.
