What will you do?

  • The Personal Assistant will provide administrative and secretarial support to the Claims General Manager and Leadership Team.
  • In this role the Personal Assistant will keep official corporation records and executes administrative policies determined by or in conjunction with other officials. Manages executive's calendar and independently schedules appointments. Screens incoming calls and correspondence and responds independently when possible. Arranges events or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers and controlling event budget. Directs preparation of records such as agenda, notices, minutes and resolutions for corporate meetings.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings and accompanies supervisor when requested. Extensive experience at top level, together with an in-depth knowledge of the organisation.

  • Minimum Qualification Required
  • Grade 12 Matric or equivalent qualification

Minimum Experience

  • Company Minimum of 3-5 years of experience as a Personal Assistant reporting to senior management.
  • Previous experience managing diaries, meetings, appointments, and departmental calendars.
  • Experience coordinating and prepare meeting packs, agendas, minutes, and action trackers.
  • Experience compiling, formatting, and distributing reports, presentations, and correspondence.
  • Previous coordinating of travel arrangements, accommodation bookings, and expense claims where required.
  • Experience assisting with budget administration, purchase orders and invoice processing
  • Advanced proficiency in Microsoft Office Suite Word, Excel, PowerPoint, Outlook

Competencies Required

  • Proficiency in Microsoft Office Suite Word, Excel, PowerPoint, Outlook, and Teams.
  • Strong report preparation and document management skills.

  • Maintain accurate records, filing systems, and confidential documentation.
  • Coordinate travel arrangements, accommodation bookings, and expense claims where required.
  • Assist with budget administration, purchase orders and invoice processing
  • Liaise with internal departments, service providers, brokers, and external stakeholders.
  • Support claims-related projects, initiatives, and operational activities.
  • Ensure efficient communication and follow-up on actions arising from meetings.
  • Assist with the coordination of team events, training sessions, and employee engagement activities.
  • Handle sensitive and confidential information with the highest level of professionalism and discretion.
  • Perform general office administration and ad hoc duties as required by management.
