Purpose of the role
The Payroll Administrator is responsible for the accurate and timely processing of payroll-related activities for allocated restaurants/regions. The role ensures compliance with company policies, labour legislation, and payroll procedures while maintaining the integrity of employee records and payroll data. The Payroll Administrator acts as a key support partner to the People Department and operational teams by providing efficient payroll administration, query resolution, and system reconciliation.
Duties and Responsibilities
Key Responsibilities
Payroll Processing and Administration
- Process payroll inputs accurately and within prescribed deadlines for allocated Casa’s.
- Ensure all payroll workflows are reviewed, approved, and actioned daily.
- Review and process HR-related changes, including engagements, transfers, promotions, and terminations.
- Process acting allowances and other approved payroll adjustments.
- Ensure settlement agreements and final payments are processed accurately and paid within agreed timelines.
- Execute and complete the weekly EFT payment process.
Employee Records and Compliance
- Maintain accurate and complete employee (Nandoca) records.
- Review all new employee files to ensure compliance with company standards.
- Ensure all mandatory documentation is uploaded and maintained, including:
- UIF documentation
- U12.7 forms
- U19 forms
- Identity documents
- Banking details
- Employment contracts
- Any other payroll-related documentation
- Ensure compliance with applicable labour legislation and company policies.
Leave and Time Management
- Review leave transactions and ensure accuracy between the HR Information System (HRIS) and Time and Attendance (TandA) systems.
- Investigate and resolve discrepancies relating to leave balances, attendance records, and employee schedules.
- Ensure HRIS and TandA data are aligned and reconciled daily.
Maternity and Labour-Related Administration
- Process maternity-related payroll transactions.
- Prepare and manage UIF and labour-related documentation.
- Ensure all required submissions are completed accurately and on time.
Payroll Queries and Stakeholder Support
- Respond to payroll-related queries from employees, managers, and business stakeholders.
- Provide support and guidance on payroll processes, policies, and procedures.
- Collaborate closely with the People Department to ensure efficient employee administration and payroll service delivery.
Reconciliation and Reporting
- Action headcount report daily for New appointments, Terminations, Transfers, promotions
- Communicate all unpaid leave transactions on the leave taken report and inform the CASA
- Complete daily cashbook reconciliations and investigate variances.
- Ensure payroll transactions are accurately reflected in financial records.
- Assist with payroll reporting and audit requirements as required.
Desired Experience and Qualifications
Qualifications
- Grade 12 / Matric (Essential)
- Payroll qualification or relevant HR/Finance qualification (Advantageous)
Experience
- Minimum 2-3 years payroll administration experience.
- Experience working with HRIS and Time and Attendance systems.
- Experience processing large-volume payrolls in a fast-paced environment.
- Experience with UIF administration and labour-related processes.
Knowledge
- South African labour legislation and payroll practices.
- UIF processes and statutory requirements.
- Payroll reconciliation and financial controls.
· Knowledge of PAYE
· Knowledge of hospitality sectoral determination and main agreements
· Knowledge of payroll system
· Oral and written communication skills
- Microsoft Office skills (Intermediate)
