Start free — we apply for you →Requirements: • 2–5 years' relevant experience as a Personal Assistant, Executive Personal Assistant or in a comparable high-level support role. • Strong administrative and organisational abilities. • Excellent spoken and written English. • An exceptionally professional telephone manner. • Clear, articulate and measured communication skills. • Strong computer literacy and the ability to learn new systems quickly. • Excellent diary management, scheduling and time-management skills. • Exceptional attention to detail. • Proven ability to handle highly confidential and sensitive information. • Ability to prioritise rapidly when circumstances change. • Calm, productive and composed under pressure. • Exceptionally punctual and dependable. • Naturally discreet, professional and respectful. • Comfortable working independently for extended periods. • Highly focused and organised, with minimal need for constant supervision. • Strong initiative and the ability to anticipate requirements. • Resourceful and capable of resolving minor issues independently. • Emotionally mature and receptive to clear, direct feedback. • Flexible and adaptable when priorities or arrangements change unexpectedly. • Respectful of professional boundaries and hierarchy. • Professional, polished and well-presented at all times. • Comfortable supporting both professional and personal requirements. • Respectful and sensitive towards religious and dietary requirements. • Existing knowledge or experience with kosher requirements and Jewish religious observances will be a significant advantage. • Must be comfortable working in a smoke-free professional environment. • Must be available and committed to the full fixed-term contract period. Responsibilities:
• Provide comprehensive day-to-day administrative and personal support to the Managing Director. • Manage a complex executive diary, appointments, meetings and scheduling requirements. • Coordinate internal and external meetings and ensure the MD is appropriately prepared. • Manage correspondence, documentation, filing and confidential information. • Prepare documents, schedules, meeting packs, reports and other administrative material. • Screen, prioritise and appropriately manage incoming communications. • Maintain accurate records and effective follow-up systems. • Coordinate travel arrangements, reservations, itineraries and related requirements. • Monitor deadlines and proactively follow up on outstanding matters. • Liaise professionally with senior management, employees, clients, suppliers and other stakeholders. • Assist with the coordination of personal and family appointments and commitments. • Incorporate family obligations and important personal commitments into diary planning. • Assist with reservations, arrangements, purchases, appointments and other reasonable personal requirements. • Handle personal and family-related information with absolute discretion and confidentiality. • Develop an understanding of the MD's preferences, routines and priorities. • Anticipate scheduling conflicts and requirements before they become problems. • Ensure religious observances and commitments are considered when planning the diary. • Assist with arrangements involving kosher catering, meals or venues where required. • Confirm that dietary requirements are communicated when arranging meetings, events or travel. • Adapt quickly when priorities change or urgent requirements arise. • Resolve routine matters independently while exercising sound judgement regarding what requires the MD's attention. • Provide discreet, professional and dependable support across both professional and personal matters.
