  • We are looking for a dynamic Operations Manager to lead cleaning services across multiple sites in the Inland Region. To oversee and manage all Hygiene and Pest Control operations, ensuring high-quality service delivery, compliance with health and safety regulations, customer satisfaction, operational efficiency, and profitability across all assigned sites and regions.

Duties & Responsibilities Operations and Service Delivery:

  • Ensure service teams adhere to set daily/ weekly and monthly service schedules, as determined by Branch administrator.
  • Prepare POC hygiene stock for service teams and ensure this is correctly loaded into the service vehicles, with the correct quantities.
  • Prepare rechargeable hygiene stock for service teams and ensure this is correctly loaded into the service vehicles, with the correct quantities.
  • Collect all services slips from service teams at the end of the day and ensure all items are completed correctly. Daily service slips are to be handed to the Branch Administrator BA.
  • Collect all DAN from services teams at the end of the day and ensure all docs are signed correctly. All DAN's to be handed to BA daily.
  • Report any & all challenges, issue or client requests to BA.
  • Inspect service team appearance daily & monitor time and attendance.
  • Ensure service teams correctly and neatly store sanitary waste in designated areas.

Communication

  • Regular client meetings with at least one formal documented client meeting per month to ensure client needs are understood and expectations are met.
  • Responding to clients and management request timeously and providing necessary action required.
  • Ensure monthly completion of reports required for specific services as agreed with clients. This may include hygiene consumption reports, inspection and walk about reports, reports on training performed, reports on client maintenance matters that were reported by cleaning management and/or completion of client monthly surveys. It may also include client specific requirements.
  • Responsible to effectively communicate and filter company information to contract managers who needs to filter down to their staff.
  • Responsible to regularly keep your line management informed of pertinent issues relating to your contracts.

Labour Management

  • With reference to recruitment and new appointments, policies, procedures, and deadlines to be adhered to.
  • All unit staff making use of the biometric system should ensure that the biometric system is in use and managed according to the set requirements. Project managers must ensure adherence to this.
  • Operations managers are responsible to approve salaries for their units and to actively monitor labour/turnover ratios per contract.
  • Operations managers are responsible to ensure that contract managers and supervisors abide by the company disciplinary code and that this is consistently applied.
  • Operations managers are responsible to represent the company during ccma cases and union meetings as required.
  • To hold regular performance appraisals with all management staff reporting to you, identify areas for development and training needs.
  • Ensure that the content of personnel files is up to date as per company policy.

Health and Safety

  • Ensure that all OHS act Occupational Health and Safety requirements are adhered to for site specific requirements in line with company policies, quality programmes and legislation.

Unit Finances

  • Ensure each unit is operating within the budgetary guidelines with reference to labour, capital asset depreciation and maintenance, chemical and consumable spent and other expenses.
  • Ensure that only accredited suppliers and approved products are used.
  • Compile accurate budgets and forecasts in line with company deadlines.
  • Ensure correct billing and analysis of monthly financial results during financial sign off, of trading accounts to identify any problematic areas and pro-actively take appropriate corrective action. Provide correct and valid reasons in unit finances along with the necessary recovery within a reasonable time period.

General

  • To constantly be aware of current trends and innovation in the industry and make suggestions how these could be implemented in the business.
  • To maintain a high standard of morale and motivation through good communication skills.
  • To attend meetings, training sessions and conferences when required.
  • To ensure that the company's objectives are achieved.
  • To implement and manage initiatives and objectives as set out from time to time by our clients and/or Tsebo Management and to support functions.
  • Operations managers are to ensure that our TCHS brand is protected and represent it professionally at all times.

Qualifications

  • Minimum Matric
  • Relevant tertiary qualification and/or equivalent experience.
  • Knowledge of legislation relevant to the Hygiene industry.
  • Minimum of 5 years' experience in a similar environment on middle management level.
  • Experience in managing large compliments of people and a large client portfolio.
  • Must have a reliable vehicle and a valid driver's license.
