An exciting opportunity is available for a proactive and highly organised Office Manager to take ownership of the day-to-day running of a busy office.
We are looking for someone who enjoys being the person who makes an office work.
This is not a role for someone who waits to be given a list of tasks. The successful candidate will be the go-to person for the office – someone who notices what needs attention, takes ownership and gets it sorted.
Whether it's a maintenance issue, a supplier query, a boardroom that needs preparing, office supplies that are running low or an unexpected operational problem, you should be comfortable stepping in and finding a solution.
Duties & Responsibilities
Office Management & Administration
- Take ownership of the day-to-day running of the Pretoria office.
- Ensure the office remains organised, professional and operational.
- Manage office supplies and equipment.
- Maintain general office filing and administrative records.
- Identify office requirements proactively and ensure they are addressed.
- Act as the first point of contact for general office-related matters.
Facilities & Vendor Management
- Coordinate office maintenance and repairs.
- Liaise with cleaning, security, IT and other service providers.
- Manage day-to-day vendor queries and requirements.
- Act as the primary contact for building and facilities-related matters.
- Follow issues through to resolution rather than simply reporting or scheduling them.
- Ensure service providers deliver what is required and follow up where necessary.
Meetings, Boardrooms & Events
- Coordinate internal meetings.
- Manage boardroom bookings and meeting-room requirements.
- Ensure meeting spaces are appropriately prepared.
- Assist with the organisation of office events and functions.
- Coordinate practical arrangements and logistics associated with meetings and events.
Reception & Front of House
- Professionally welcome visitors to the office.
- Manage incoming telephone calls.
- Receive and coordinate deliveries.
- Maintain a professional and welcoming front-of-house environment.
Executive & Administrative Support
- Provide general administrative support to Pretoria-based employees and management.
- Provide overflow Executive Assistant support where required.
- Assist with ad hoc administrative requirements and changing priorities.
- Help ensure management and staff have the administrative and practical support required for the office to operate efficiently.
Health & Safety Housekeeping
- Assist with basic workplace health and safety housekeeping.
- Monitor routine requirements such as fire equipment checks and access control.
- Identify and escalate matters requiring specialist or management attention.
Desired Experience & Qualification
- Proven Office Management or Administration experience.
- Strong organisational and planning ability.
- Practical experience coordinating suppliers and vendors.
- Professional written and verbal communication skills.
- Proactive, hands-on approach to problem-solving.
- Ability to work independently and use initiative.
- Strong proficiency in Microsoft 365, including:
- Outlook
- Word
- Excel
- OneDrive
- SharePoint
- Teams
