Position Overview
The Office administrator will manage the day-to-day administration and operational control of the office while supporting both Finance and Operations. The successful candidate will ensure that business records, customer transactions, documentation and office systems are accurate, organised and audit ready. The role focuses on improving office processes through the effective use of Microsoft Excel, strengthening internal controls, supporting month-end administration and working closely with management to improve efficiency across the business.
Duties & Responsibilities
Key Responsibilities (Summary)
- Oversee the day-to-day administration and control of the office.
- Manage customer and supplier administration, client files, pricing, invoicing and supporting documentation.
- Process customer purchases, weighbridge transactions, cash payments and cash-ups.
- Manage office controls including petty cash, card expenses, PPE, stationery and office expenditure.
- Manage all mine compliance administration by ensuring that employee, contractor and company documentation remains accurate, complete and up to date.
- Prepare weekly and monthly operational and management reports and reconciliations using Microsoft Excel.
- Develop and maintain Excel working papers, control registers, reconciliation schedules and reporting tools.
- Assist with reconciliations, month-end preparation and audit-ready documentation.
- Maintain RecyleProX, Amplo and weighbridge information accurately.
- Continuously improve office systems, filing structures and administrative processes.
- Train and mentor the existing office employee and improve office standards.
- Coordinate general office administration and business communications.
- Work closely with management to improve efficiency across Operations, Administration and Finance.
Desired Experience & Qualification
Qualifications and Experience
- Grade 12 (Matric).
- Valid driver's licence.
- 2–5 years' experience in administration, finance administration or office management.
- Strong Microsoft Excel, Word and Outlook skills.
- Good numerical, organisational and reconciliation skills.
- Experience with ERP/accounting systems is advantageous.
- Experience in mining, logistics or scrap metal is advantageous.
Package & Remuneration
R12,000 – R25,000 per month (depending on qualifications, experience and technical ability).
