A well-established company operating within a laboratory environment is looking for a professional, organised and proactive Office & Finance Administrator to join their team.

This is a varied role that combines office administration, reception, bookkeeping, invoicing, procurement and client liaison , making it ideal for someone who enjoys a hands-on position and takes pride in accuracy, quality and attention to detail.

KEY RESPONSIBILITIES

  • Manage general reception, office administration and hosting duties.
  • Welcome visitors and ensure they are directed to the relevant staff members.
  • Manage inventory levels for indirect spend, obtain quotations and place orders in collaboration with management.
  • Maintain and update financial templates and documentation.
  • Ensure financial documents are correctly archived and maintain the relevant archive systems.
  • Manage the shredding and disposal of obsolete financial documentation.
  • Monitor and report on sample lead times, including sample receipt and release dates/times.
  • Prepare client quotations following approval from Finance.
  • Receive laboratory test result reports and forward them to clients for invoicing purposes.
  • Process client invoices and statements.
  • Liaise professionally with clients regarding billing and account queries.
  • Provide general administrative and finance support as required.
  • Ensure administrative and financial processes are maintained in line with relevant GxP and regulatory requirements .

MINIMUM REQUIREMENTS

  • Relevant tertiary qualification essential.
  • Previous laboratory experience ESSENTIAL.
  • Minimum 5 years'' office administration experience .
  • Minimum 5 years'' bookkeeping experience preferable .
  • Minimum 3 years'' procurement experience preferable .
  • Excellent computer skills, particularly Microsoft Office .
  • Experience with finance/accounting software essential .
  • Strong written and verbal communication skills.
  • Excellent attention to detail and analytical ability.
  • Ability to work under pressure and meet deadlines.
  • Proactive approach with a strong focus on quality and accuracy.
  • Ability to work effectively as part of a team.
