Introduction

The Office Administrator plays a crucial role in articulating the smooth operation of the headquarters office and construction or warehouse sites.

Duties & Responsibilities

  • Administrative Support: Provide administrative assistance to various departments and staff members, including answering phone calls, managing emails, scheduling appointments, and handling correspondence.
  • Record Keeping: Create and maintain accurate records, files, and databases, including personnel records, financial data, and other relevant documents.
  • Data Entry: Input and manage data in various systems and databases accurately and efficiently.
  • Communication: Act as a liaison between employees, clients, and visitors, ensuring effective communication and providing a positive impression of the organization.
  • Calendar Management: Schedule and coordinate meetings, conferences, and appointments for staff members, and assist in managing their calendars.
  • Financial Tasks: Assist with basic financial tasks, such as invoicing, tracking expenses, and coordinating with the finance department.
  • Problem Solving: Address day-to-day operational issues and provide solutions to ensure the office functions smoothly.
  • Event Planning: Coordinate and support company events, meetings, workshops, and other gatherings in office or on site.
  • Health and Safety: Ensure compliance with health and safety regulations, manage emergency procedures, and maintain a safe working environment.

Desired Experience & Qualification

  • Matriculation
  • Postgraduate diploma in any field is preferred
  • A minimum of 1 years work experience in office administration
  • Proficiency in using office software (such as Microsoft Office Suite) and other relevant tools.
  • Strong organizational and multitasking skills to manage various responsibilities effectively.
  • Excellent communication and interpersonal skills for interacting with employees, clients, and visitors.
  • Attention to detail and accuracy in record keeping and data entry.
  • Ability to work independently and collaboratively as part of a team.
  • Problem-solving skills to address day-to-day challenges that may arise.
  • Adaptability and flexibility to handle changing priorities and tasks.
  • Familiarity with office equipment and technology.
  • Professional demeanor and a customer-service orientation.
