Key Responsibilities
Reception & Customer Service
- Welcome visitors, determine the purpose of their visit, and direct them accordingly.
- Answer incoming telephone calls, take messages, and respond to customer enquiries via phone and email.
- Provide professional customer service and maintain positive relationships with customers and suppliers.
- Ensure the reception area remains clean, organised, and professional at all times.
Administration
- Perform general administrative duties including filing, scanning, photocopying, and document management.
- Order and maintain office supplies and oversee general office administration.
- Organise and prioritise multiple administrative tasks efficiently.
- Maintain accurate records and ensure all documentation is correctly filed.
HR Administration
- Process and maintain factory employees' clock cards and attendance records.
- Submit fortnightly hours, leave applications, sick leave, compassionate leave, bonuses, and related documentation to Head Office.
- Provide basic HR administrative support and liaise with the HR department at Head Office.
Accounts & Finance Administration
- Capture customer invoices and credit notes using Pastel Partner.
- Capture supplier invoices and Goods Received Vouchers (GRVs).
- Reconcile supplier statements with invoices.
- Maintain customer and supplier documentation, including invoices, delivery notes, sales orders, credit notes, and goods return notes.
- Manage petty cash reconciliations and submit monthly reports to Head Office.
- Assist with customer payment queries and liaise with Head Office regarding outstanding accounts.
Stock Control
- Receive and capture customer orders and coordinate loading arrangements.
- Assist with monthly stock takes.
- Process stock journals and maintain accurate inventory records.
Compliance & Communication
- Ensure compliance with company policies, procedures, and statutory requirements.
- Liaise effectively with Head Office, the Branch Manager, Sales Representatives, factory employees, drivers, customers, and suppliers.
Minimum Requirements
- National Senior Certificate (Matric).
- Previous experience in a receptionist, office administrator, or branch administrator role.
- Working knowledge of Pastel Partner is essential.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Experience with general office equipment including printers and scanners.
- Experience with stock administration, invoicing, and supplier reconciliations will be advantageous.
