Purpose of the Role
Our reputable healthcare client is seeking a professional, organised, and patient-focused Medical Receptionist to join their practice based in Amanzimtoti.
The successful candidate will be responsible for managing the front desk, welcoming patients, coordinating appointments, handling telephone and email enquiries, maintaining accurate patient records, and providing general administrative support to the medical professionals and practice team.
Minimum Requirements
• Matric / Grade 12.
• Computer literate with proficiency in Microsoft Office, email, and electronic filing systems.
• Excellent telephone etiquette and communication skills.
• Strong administrative, organisational, and time-management abilities.
• High level of accuracy and attention to detail.
• Ability to maintain patient confidentiality and comply with POPIA requirements.
• Ability to remain calm and professional when dealing with sensitive, confidential, or difficult situations.
• Fluency in English. Knowledge of [additional language] would be advantageous.
• Own reliable transport would be advantageous or required, depending on the practice location.
Key Responsibilities
• Welcome patients and visitors in a friendly, professional, and compassionate manner.
• Answer incoming telephone calls, emails, and patient enquiries.
• Schedule, confirm, reschedule, and cancel patient appointments.
• Manage the medical professional’s diary and ensure appointments run efficiently.
• Register new patients and update existing patient information.
• Capture and maintain accurate patient records on the practice management system.
• Verify medical aid membership details and assist with authorisations where required.
• Submit medical aid claims and follow up on rejected or outstanding claims, where applicable.
• Process patient accounts, invoices, receipts, and payments.
• Collect co-payments, consultation fees, or outstanding balances when required.
• Maintain confidentiality of all patient and practice information.
• Prepare patient files and documentation ahead of consultations.
• Assist with referrals, medical reports, prescriptions, test results, and supporting documentation within the limits of the role.
• Liaise with patients, doctors, specialists, laboratories, medical aids, hospitals, and other healthcare providers.
• Manage incoming and outgoing correspondence.
• Maintain an organised and professional reception and waiting area.
• Perform general administrative duties, including scanning, filing, photocopying, and data capturing.
• Monitor office supplies and assist with ordering stationery and practice consumables.
• Escalate urgent medical enquiries to the appropriate healthcare professional.
• Support the practice team with additional administrative duties when required.
