Introduction

A specialist Obstetrics and Gynaecology practice in Bedford Gardens, Johannesburg is seeking to recruit an experienced Medical Receptionist. The successful candidate will be responsible for delivering exceptional patient service while managing the reception, administrative, billing, and patient coordination functions of the practice. This role is ideally suited to a compassionate, organised, and professional individual who thrives in a busy specialist environment.

Duties & Responsibilities

  • Welcome patients and provide a professional and compassionate front-office service
  • Manage appointment scheduling, diary coordination, and patient follow-ups
  • Coordinate obstetric booking appointments, antenatal visits, gynaecology consultations, postoperative reviews, and emergency appointments
  • Confirm appointments and manage cancellations and waiting lists
  • Register new patients and maintain accurate patient records
  • Verify patient demographics, medical aid information, and required documentation
  • Answer incoming calls, emails, and patient enquiries professionally
  • Prepare patient files, referrals, and clinical documentation
  • Process referrals to hospitals, specialists, radiology, and pathology services
  • Capture consultation and procedure codes and submit medical aid claims
  • Obtain medical aid and hospital authorisations for procedures and admissions
  • Process patient payments and assist with billing-related administration
  • Follow up on rejected medical aid claims where required
  • Coordinate theatre bookings, admissions, and Caesarean section bookings
  • Liaise with hospitals regarding theatre schedules and maternity admissions
  • Prepare patient information packs and admission documentation
  • Maintain reception, office supplies, and patient educational material
  • Ensure patient confidentiality and compliance with POPIA
  • Provide general administrative support to ensure the efficient operation of the practice

Desired Experience & Qualification

  • Matric / Grade 12
  • Minimum 3 years' experience as a Medical Receptionist
  • Previous experience within an Obstetrics and Gynaecology practice advantageous
  • Knowledge of medical terminology and specialist practice workflows
  • Experience with GoodX or similar medical practice management software
  • Knowledge of medical aid billing, authorisations, and claim submissions
  • Knowledge of ICD-10 and CPT coding advantageous
  • Theatre booking and obstetric admissions experience advantageous
  • Computer literate with proficiency in Microsoft Office Suite
  • Excellent verbal and written communication skills

Additional Information

Work Hours

Monday to Friday, 08h00 – 17h00 - with occasional overtime when required.
