We are seeking a professional, reliable, and detail-oriented Medical Receptionist/ Administrator to join our Orthopaedic practice. This is a permanent position, ideal for a candidate who excels in a fast-paced clinical environment and possesses exceptional patient-handling skills
Duties & Responsibilities
- Manage patient queries via email, WhatsApp, and telephone promptly and professionally
- Assist with general administrative duties to ensure smooth practice operations
- Provide patients with pre-operative and post-operative documentation
- Handle patient complaints or concerns with empathy, escalating where necessary
- Liaise with hospitals and theatre coordinators to book and confirm surgical slots
- Compile and submit theatre lists to the relevant hospital/facility
- Coordinate with anaesthetists, scrub nurses, and other surgical team members
- Track and follow up on surgical consumable or implant requirements with suppliers
- Liaise and communicate with the practice's third-party billing company on matters relating to claims, patient accounts, pre-authorisations, and billing queries.
- Maintain accurate and confidential patient records in line with POPIA/HPCSA requirements
- Scan, file, and archive clinical documentation and referral letters
- Request and coordinate medical records or imaging from other facilities
- Order and manage office and medical stationery supplies
- Liaise with referring doctors and their rooms to manage referrals
- Assist with on boarding of new patients and capturing demographic information
- Coordinate equipment servicing or facility maintenance requests where needed
Desired Experience & Qualification
- National Senior Certificate (Grade 12)
- Fluency in Afrikaans and English (written and verbal) is essential
- Previous experience working in a medical doctor’s practice is essential; experience specifically within an Orthopaedic Surgeon’s practice is highly preferred
- Proficiency in Vericlaim is advantageous
- Excellent communication skills
- Strong computer literacy
- Ability to work independently
- A compassionate approach to patient care
