Purpose of the Position

Management level role combining project management, office/process administration and sales support. The manager coordinates telecommunications projects from Sales handover through planning, procurement, implementation, commissioning, customer acceptance and close-out, while maintaining commercial, administrative and sales-support controls. The role is a central coordination point across Sales, Technical/Engineering, Operations, Supply Chain, Finance, Risk/Legal, suppliers, contractors and customers.

Project Management

Responsible for end-to-end management of assigned telecommunications projects, maintaining control of scope, schedule, cost, quality, risks, stakeholders, contracts, variations and project administration.

  • Develop and maintain detailed project plans and schedules using Microsoft Project; establish milestones, dependencies and baselines.
  • Track progress, critical-path activities, delays and recovery plans, including supplier, procurement, contractor, technical and customer dependencies.
  • Coordinate project scope against customer requirements, quotations, contracts, purchase orders, statements of work, technical specifications and acceptance criteria.
  • Monitor project costing, committed and actual expenditure, supplier/contractor costs, purchase orders, cost-to-complete forecasts and margin protection.
  • Manage contracts and variations by identifying scope changes, assessing cost/schedule impact, coordinating approvals and preventing uncontrolled scope creep.
  • Coordinate cross-functional delivery across Sales, Technical/Engineering, Operations, Supply Chain, Finance and Risk/Legal.
  • Manage customer, supplier and contractor relationships, including project meetings, progress reporting, expectations, delays, concerns, variations, acceptance and handover.
  • Maintain accurate project records, reporting, risk/issue registers, variation registers, commissioning and close-out documentation.
  • Drive formal project close-out, including customer acceptance, outstanding defects, final costs, invoicing, documentation, financial reconciliation and operational handover.

Office and Process Administration Management

Ensure the administrative environment supporting Projects and Sales operates efficiently through standardised documentation, document control, workflow improvement, tracking mechanisms, accurate systems usage and reduction of administrative errors and delays.

Sales Support and Sales Enablement

Sales Support is a core component of the role. The manager enables Sales Representatives by coordinating the internal information, documentation, pricing, technical input, approvals and system processing needed to progress opportunities. The position supports Sales rather than replacing the Sales function.

  • Coordinate the Sales support process from opportunity through order and project handover.
  • Support quotations, proposals, tenders, RFQs and RFPs, including costing, pricing, supplier quotations and technical inputs.
  • Coordinate internal approvals and resolve administrative or system barriers that delay opportunities.
  • Maintain accurate Sales information and documentation in SYSPRO and supporting systems.
  • Support customer onboarding and order processing.
  • Ensure formal Sales-to-Project handovers contain commercial, technical, financial, procurement, delivery and customer information.
  • Provide Sales with relevant project feedback once opportunities move into implementation.

Sales-to-Project Handover

Ensure successful opportunities are fully and accurately transitioned into project execution, including contracts, purchase orders, approved quotations, statements of work, technical solutions, bills of quantity, project costing, expected margin, delivery dates, milestones, acceptance criteria, procurement requirements, customer dependencies, payment terms and project risks. Identify and resolve gaps before implementation.

Leadership and Stakeholder Management

Lead in a cross-functional/matrix environment without necessarily having direct line authority. Set priorities, clarify responsibilities, drive actions, influence stakeholders, facilitate meetings, resolve issues, challenge delays constructively and escalate matters appropriately.

Management and Executive Interaction

Confidently communicate with Middle, Senior and Executive Management and senior customers. Present project status, risks, delays and financial/commercial concerns; recommend corrective actions and provide information for management decisions.

Qualifications

  • Relevant Diploma, Advanced Diploma or Degree preferred in Project Management/Business Management/Operations Management/Business Administration/Commercial Management/Supply Chain Management/Engineering Management or Telecommunications.
  • Engineering qualification is not required but advantageous
  • PMP, PRINCE2 or equivalent recognised Project Management certification is advantageous.

Experience

  • Approximately 7–10 years of relevant business experience.
  • Approximately 4–5 years of substantive Project Management, project coordination or comparable responsibility.
  • Relevant telecommunications, ICT, satellite, network infrastructure, engineering or technical project experience strongly preferred.
  • Experience ideally covering project management, project costing, customer management, supplier/contractor management, contract and variation management, Sales Support/Sales Operations, procurement coordination, ERP systems, project reporting, technical implementation and tenders/RFQs/RFPs.
  • Previous Senior Management experience is not required.
