- To manage and coordinate key administrative processes within the Office of the University Registrar, with particular responsibility for student recruitment, graduation, the Talent Pipeline Programme, academic exclusions and Senate readmissions, policy development, and the annual production of the University's General and Faculty Rule Books, thereby ensuring efficient, accurate and student-centred administrative service delivery.
Minimum Requirements
- Relevant Postgraduate qualification in Administration, Public Management, Higher Education Administration or a related field.
- At least 5 years' relevant administrative experience, preferably in a higher education environment.
- Demonstrated experience in managing complex administrative processes, events, records and stakeholder communication.
- Proficiency in ITS I-enabler
- Computer literacy, including proficiency in standard office productivity applications
- Driver's licence
Duties
Student Recruitment
- Promote and present the University's programme offerings at schools, organisations and career exhibitions.
- Plan, prepare, coordinate and manage recruitment events for prospective students, including Open Days.
- Coordinate school visits and participation in career exhibitions in identified recruitment areas.
- Maintain an accurate and current database of schools, organisations, career exhibitions and recruitment engagements.
- Maintain and analyse data relating to student recruitment patterns to inform recruitment planning and interventions.
- Prepare recruitment schedules, logistical arrangements and reports on recruitment activities
Graduation
- Develop and maintain the graduation programme, procedure guide and operational timetable.
- Plan, coordinate and manage the graduation process and ceremony in collaboration with relevant internal and external stakeholders.
- Coordinate verification and audit processes for graduands and ensure that outstanding documentation is identified and followed up.
- Manage deadlines, communications, logistics and process controls relating to graduation,
- Conduct post-event review and identify improvements for future graduation ceremonies.
Talent Pipeline Programme
- Manage the Talent Pipeline Programme, including project planning, activities, resources, equipment, information and logistics.
- Coordinate scheduled programme sessions and ensure that academic and developmental support activities are implemented.
- Monitor learner participation and academic performance, with particular attention to priority subjects and areas requiring intervention.
- Develop and coordinate intervention plans, including tutoring or other support where performance gaps are identified.
- Promote SPU study opportunities to Talent Pipeline participants and monitor applications to the University.
- Evaluate programme implementation and prepare progress and outcome reports.
Academic Exclusions and Senate Readmissions
- Coordinate the work of the Senate Re-Admissions Committee.
- Manage the annual academic exclusion and readmission process, including the receipt and processing of appeals.
- Obtain and verify exclusion and readmission information from Faculties and relevant system support areas.
- Prepare meeting documentation and coordinate committee processes and timelines.
- Communicate outcomes of exclusions, appeals and readmission decisions accurately and timeously to affected students and relevant stakeholders.
Policy Development
- Monitor, review and develop policies relevant to student recruitment, graduation and related administrative processes.
- Identify areas in which new policies or amendments would benefit institutional administration and service delivery.
- Analyse proposed or existing government and sector policies relevant to the assigned administrative functions.
- Coordinate consultation, drafting and submission of policy proposals through the appropriate institutional governance structures.
- Ensure operational procedures are aligned with approved policies.
General and Faculty Rule Books
- Maintain and coordinate the annual production of the University's General Rule Book.
- Coordinate the annual production and updating of Faculty Rule Books.
- Obtain approved amendments and inputs from relevant Faculties, committees and administrative units.
- Verify consistency, completeness and accuracy of rules prior to publication.
- Manage the production schedule to ensure that approved rule books are available before the start of the new academic year.
