Start free — we apply for you →- Tsebo Facilities Solutions is looking for a Maintenance Planner to plan, coordinate, manage, and monitor all planned preventative maintenance PPM activities and contractor work. The role ensures effective maintenance planning, accurate system administration, data integrity, reporting, compliance with health and safety requirements, and support to operational teams to achieve service delivery objectives.
Duties & Responsibilities Maintenance Planning & Coordination
- Assist in compiling weekly, bi-monthly, and monthly technical reports.
- Allocate and monitor technical work orders.
- Ensure preventative maintenance work orders are issued to maintenance teams.
- Track work order completion and ensure closure within agreed timeframes.
- Maintain accurate records and update open work orders regularly.
- Follow up with technical teams to ensure timely completion of maintenance activities.
Quality Assurance & Compliance
- Conduct quality control inspections across sites on a regular basis.
- Ensure maintenance inspections are completed according to planned preventative maintenance schedules.
- Log faults with the Helpdesk and monitor progress until resolution.
- Ensure contractors comply with Tsebo Facilities Solutions TFS health, safety, environmental, and quality requirements.
- Issue work permits and monitor contractor compliance with safety standards.
- Maintain and update site safety files.
Administration & Reporting
- Assist with updating purchase order reports.
- Assist with updating RFQ reports on a weekly basis.
- Verify invoices against completed work and submit for authorization.
- Maintain maintenance planning systems and ensure data accuracy.
- Provide administrative support to Technical Managers and Maintenance Supervisors.
Stakeholder & Supplier
- Support Liaise with contractors regarding maintenance activities and compliance requirements.
- Coordinate with Storemen regarding deliveries, inventory availability, and stock-related matters.
- Assist technical teams with operational and administrative requirements.
Teamwork & Collaboration
- Share knowledge and best practices with team members.
- Support management and colleagues to achieve departmental objectives.
- Foster positive working relationships across all relevant stakeholders.
Customer Service
- Act as a professional and responsive first point of contact.
- Respond to calls and requests courteously and professionally.
- Demonstrate a customer-focused approach and willingness to go the extra mile.

SHEQ Responsibilities
- Adhere to all applicable Safety, Health, Environmental and Quality SHEQ policies, procedures, and standards.
- Support ISO 9001, ISO 14001, and ISO 45001 compliance requirements applicable to the role.

Qualifications
- Grade 12 Matric.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Extensive knowledge of Computerised Maintenance Management Systems CMMS and Planned Preventative Maintenance processes.
- 2-3 years' experience in a similar maintenance planning or technical administration environment.
