• National Senior Certificate Minimum applicable experience (years):
• 2+ years' experience in lease administration, property administration, or a similar commercial property environment. Required nature of experience:
- Experience managing lease documentation, renewals, addenda, amendments, and related administrative processes.
- Practical experience working with MDA or similar property management systems (essential).
- Experience maintaining tenant records, lease schedules, expiry registers, and reporting documents.
- Experience supporting tenant onboarding, compliance documentation, and FICA administration.
Skills and Knowledge (essential)
- Strong knowledge and understanding of commercial lease agreements and lease administration processes.
- Proficiency in MDA, Microsoft Office (Word, Excel, Outlook), and document management systems.
- Strong administrative, organisational, and document control skills.
- Excellent attention to detail and accuracy when handling contracts, reports, and tenant information.
- Ability to maintain trackers, schedules, registers, and electronic filing systems.
- Strong written and verbal communication skills.
- Ability to identify administrative discrepancies and escalate issues appropriately.
- Ability to manage multiple deadlines and priorities in a fast-paced environment.
Other
- Proficiency in English required; Afrikaans advantageous.

KEY PERFORMANCE AREAS AND OBJECTIVES Leasing Administration Support
- Provide daily administrative support to the Leasing Manager across the leasing process.
- Manage leasing enquiries, documentation requests, and administrative follow-ups.
- Coordinate internal approvals, tenant information requests, and broker communication.
- Maintain accurate leasing files, records, and correspondence.
- Assist with scheduling property viewings, meetings, and leasing-related appointments.
Lease Documentation and Contract Administration
- Assist with the preparation, review, circulation, and tracking of lease agreements, renewals, addenda, and amendments.
- Ensure lease packs contain all required supporting documentation before execution.
- Review lease documentation for accuracy, completeness, and alignment with approved commercial terms.
- Maintain executed lease agreements and ensure documentation is correctly filed and accessible.
- Identify administrative or contractual discrepancies and escalate matters to the Leasing Manager.
MDA Administration and Reporting
- Capture and maintain accurate tenant and lease information on MDA.
- Ensure lease terms, commencement dates, expiry dates, escalation rates, deposits, and billing information are updated correctly.
- Generate and maintain leasing reports, tenant schedules, expiry schedules, and control registers.
- Identify and resolve data inconsistencies in collaboration with the Leasing Manager and finance team.
- Maintain accurate lease control systems and reporting documentation.
- Supply RUBS information for budgeting purposes.
Tenant Compliance and Stakeholder Coordination
- Assist with tenant vetting, FICA documentation, credit checks, and compliance administration.
- Request, collect, and follow up on outstanding tenant documentation.
- Prepare tenant information packs for review and approval.
- Communicate professionally with tenants, brokers, internal teams, and external stakeholders.
- Assist with tenant onboarding, access registrations, and tenant administration requirements.
General Administration and Team Support
- Maintain organised electronic filing systems and administrative records.
- Support the property management and finance teams during peak periods and urgent deadlines.
- Prioritise tasks effectively while maintaining accuracy and quality standards.Contribute towards a collaborative, professional, and solutions-focused team environment.
