JOB DESCRIPTION Lease Administrator Commercial retail lease administration   ·   Stellenbosch (on-site) This is not a back-office holding pattern. It is a front-row seat in commercial retail leasing — the busy strip of ground between international/national (local) retailers and the landlords who own the shopping centres from which they trade from. Exact Africa looks after that relationship so that our clients can focus on trading. We keep portfolios accurate, renewals moving, FICA packs complete and both sides of the deal talking. We set the benchmark. Then we raise it. We need someone who likes things tidy, follows through without being asked twice, and gets a quiet thrill from a file that is actually up to date. What you’ll actually do You will be the extended property arm to the client, being the Tenant, and a Personal Assistant to their property portfolio. You will help run tenant retail lease portfolios and keep the leasing machine turning: ▸     Own the admin on a portfolio of retail leases in shopping centres and malls. ▸     Draft counteroffer correspondences and rent comparisons on renewals and Landlord proposals. ▸     Vetting lease agreements and offer to leases. Focus on clause amendments that needs to be addressed from a tenant’s perspective. ▸     Capture, file and keep correspondence current so nobody is hunting for “that email from June”. ▸     Prep client files so the next conversation — or the next signature — can happen. ▸     Chase the follow-ups. Calls, emails, polite persistence. Deals stall when nobody follows up. ▸     Be the person landlords and tenants can actually get hold of when they have a query. ▸     Support lease renewals from the first nudge through to close. ▸     Compile and submit tenant FICA packs to landlords — complete, correct, on time. ▸     Keep Outlook tasks and file notes honest and accurate. ▸     Update monthly client status reports. Capture turnover figures and trading density in the lease schedule. ▸     Keep track record of tenants shopfitting schedule (roll-out programme) and revamps where required. ▸     Back the leasing team with the unglamorous work that makes the glamorous work possible. ▸     Move easily between internal stakeholders, landlords and tenants. You’ll fit if you ▸     Have Matric / Grade 12. A tertiary qualification is a plus, not a gate. ▸     Know (or are hungry to learn) how commercial retail lease agreements actually work. ▸     Are naturally organised. Keep the nightmare filing to be up to date. ▸     Write and speak clearly. Landlords and retailers notice sloppy English. ▸     Catch the small thing before it becomes an expensive thing. ▸     Can keep several follow-ups in the air without dropping the important one. ▸     Live in Word, Excel and Outlook without thinking about it. ▸     Can get yourself to Stellenbosch reliably — own car or a commute that does not collapse on a Monday. ▸     Show up professional, proactive and slightly allergic to unfinished business. Why this one is interesting Most first proper jobs in property are a long way from the deal. This one is not. You will see how international/national (local) retailers take space in South African malls and shopping centres, how renewals get done, and how a lease file is supposed to look when it is done properly.
