Lead Contract Administrator Contracts & Procurement – Mining Projects

  • One of our clients, a leading organisation within the mining industry, is seeking an experienced Lead Contract Administrator Contracts & Procurement to join its team on a major mining project based in Klerksdorp, North West .
  • The successful candidate will be responsible for managing the full contract lifecycle, ensuring effective contract administration, procurement support, commercial management and quantity surveying functions throughout project execution.
  • The role requires close collaboration with Project Managers, Engineers, Procurement, Commercial Teams, Contractors, Suppliers and EPCM service providers to ensure contractual compliance, commercial governance and successful project delivery.

Minimum Requirements

  • Grade 12 Matric.
  • Bachelor's Degree or National Diploma in Quantity Surveying, Contract Management, Commerce, Construction Management, Law or a related discipline.
  • Minimum of 8 years' experience in contract administration and contract management within the mining, EPCM, construction or heavy industrial environment.
  • Proven experience managing the full contract lifecycle on mining capital projects.
  • Strong knowledge of FIDIC , NEC , GCC or other standard forms of contract.
  • Extensive experience in procurement support, tender administration and commercial contract management.
  • Experience in quantity surveying, cost management, budgeting and contractor payment certification.
  • Strong understanding of claims management, contract variations, commercial negotiations and dispute resolution.
  • Experience maintaining contract registers, contractual documentation and audit-ready records.
  • Knowledge of project procurement processes, supplier management and commercial governance.
  • Proficient in Microsoft Office Suite, particularly Microsoft Excel.
  • Experience using document management systems, SharePoint, ERP systems and project management platforms will be advantageous.
  • Excellent analytical, negotiation, communication and stakeholder management skills.
  • Strong attention to detail with excellent organisational and document control abilities.
  • Willingness to work on-site in Klerksdorp, North West .

Roles and Responsibilities: Contract Administration

  • Administer the full lifecycle of engineering, construction and service contracts from award through to close-out.
  • Maintain a comprehensive contract register and contract repository.
  • Ensure all contractual documentation, correspondence and records remain accurate and audit ready.
  • Track contractual milestones, commencement dates, renewals, expiry dates and notice periods.
  • Monitor contractor compliance with contractual obligations and project requirements.

Contract Management

  • Manage commercial contracts in accordance with FIDIC, NEC and other applicable contract conditions.
  • Review contractual obligations and advise project teams on contract interpretation.
  • Identify contractual risks, deviations and non-compliance and recommend appropriate corrective actions.
  • Support contract negotiations, amendments and commercial decision-making.
  • Ensure effective governance throughout the contract lifecycle.

Procurement & Tender Administration

  • Assist with the preparation of tender documentation, scopes of work, requests for quotations RFQs and requests for information RFIs.
  • Support procurement during tender clarification, evaluation and adjudication processes.
  • Coordinate with Procurement to ensure contractual documentation is completed prior to contract award.
  • Liaise with suppliers, contractors and EPCM partners regarding contractual requirements.
  • Monitor procurement activities to ensure compliance with company policies and project objectives.

Commercial & Quantity Surveying

  • Support project cost management, budgeting and commercial reporting.
  • Assist with preparing cost estimates, contractor cash flow forecasts and procurement operating plans.
  • Review contractor payment applications and certify completed work for payment.
  • Monitor contract values, expenditure and financial commitments.
  • Support the preparation of final accounts and commercial close-out documentation.

Claims & Change Management

  • Administer contract variations, change orders and contractual amendments.
  • Monitor contractual notices, time-bar obligations and claims in accordance with contract conditions.
  • Assess contractor claims and provide recommendations to project management.
  • Maintain detailed records supporting contractual decisions and commercial claims.
  • Support dispute avoidance and resolution processes where required.

Documentation & Reporting

  • Maintain accurate contract registers, commercial records and procurement documentation.
  • Prepare weekly and monthly commercial and contract administration reports.
  • Monitor contract performance against key project milestones.
  • Ensure all contractual documentation is appropriately controlled and archived.
  • Support project audits by maintaining complete and accurate commercial records.

Stakeholder Coordination

  • Work closely with Project Managers, Engineers, Procurement, Commercial Teams, Quantity Surveyors, Contractors, Suppliers and EPCM service providers.
  • Attend commercial, procurement and project progress meetings.
  • Provide contractual guidance and commercial support to project teams.
  • Ensure effective communication between all internal and external stakeholders regarding contractual matters.
  • Coordinate contract close-out activities with all relevant project stakeholders.

Compliance & Governance

  • Ensure compliance with company procurement policies, commercial procedures and contract governance requirements.
  • Ensure contracts are administered in accordance with FIDIC , NEC and other applicable contractual frameworks.
  • Maintain audit-ready records and ensure full contractual traceability throughout the project lifecycle.
  • Promote adherence to health, safety, environmental and quality standards on site.
  • Drive continuous improvement initiatives within the contracts and procurement function.
